Following the successful full employment of our previous apprentice into our management team, we are advertising this position to be filled by an enthusiastic, keen, and dedicated individual.
The purpose of the role is to:
1. Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
2. Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way.
3. Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of secretarial and clerical support to clinical staff and other members of the practice team.
4. Facilitate effective communication between patients, members of the primary health care team, secondary care, and other associated healthcare agencies.
Main duties of the job
Duties will cover the period of shift work from 08:00 until 20:00 hrs (supervised) on a rota. These hours will be covered by a flexible shift system from Monday to Friday. This working pattern is subject to change based on NHS contractual obligations, and in the future, the working period may be extended to include evenings and weekends. As an apprentice, you will gain a vast amount of knowledge and experience. Upon your successful completion of the apprenticeship, you will be an experienced multi-skilled receptionist. You will also gain vital knowledge and skills which will be a very important stepping stone to future roles within the NHS and other sectors.
You will be expected to work & train from main & branch sites.

Job responsibilities
The duties and responsibilities to be undertaken by members of the practice reception/administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the practice manager, dependent on current and evolving practice workload and staffing levels:
* To have a thorough working knowledge of all practice procedures.
* To work in accordance with practice protocols.
* Maintaining and monitoring the practice appointments system.
* Processing personal and telephone requests for appointments, visits, and telephone consultations and ensuring callers are directed to the appropriate healthcare professional.
* Processing and distributing incoming (and outgoing) mail.
* Taking messages and passing on information accurately.
* Filing and retrieving paperwork.
* Processing repeat prescriptions in accordance with practice guidelines.
* Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures.
* Clearing and re-stocking consulting rooms as required.
* Providing clerical assistance to practice staff as required from time to time, including word/data processing, filing, photocopying, and scanning.
* Ordering, re-ordering, and monitoring of stationery and other supplies.
* Disposing of confidential waste appropriately.
* Provision of refreshments for staff and visitors as required; loading and emptying the dishwasher and keeping the kitchen area clean and tidy.
* Keeping the reception area, notice-boards, and leaflet dispensers tidy and free from obstructions and clutter.
* Ensuring building security – having thorough knowledge of doors/windows/alarm.
* Participating in team meetings.

Person Specification
Experience
* We require a polite individual with a professional telephone manner as well as excellent communication, interpersonal, team working, and organisational skills.
* This position is mentally demanding and will require the candidate to work to deadlines.
* Your working week will be split between working in reception and administrative areas.
Qualifications
* GCSE A* to C in English, Maths, and Science.
