Job Description
As an Administrative Assistant, you will provide high level administrative support to the Chief Financial Officer to ensure the efficient running of the business area. You will support the CFO in their day to day activities, ensuring that you are maximising their time and enabling them to be effective in their role.
As an Administrative Assistant, we are looking for someone to:
1. Provide comprehensive assistance to the Director in an extremely fast paced environment
2. Understand priorities, reorganising workload and tasks accordingly to ensure the Directors’ time is maximised
3. Carry out delegated tasks from the CFO to a high standard, using initiative and asking for guidance when necessary
4. Co-ordinate and manage the Directors’ diaries, managing time effectively and intelligently, using initiative to prioritise urgent matters to ensure the smooth, timely and professional running of the business area at all times
5. Act as an ambassador, gatekeeper and point of contact for the Director and Direct Reports at times, dealing with all matters in an efficient, sensitive and reliable manner
6. Manage and organise Directors’ travel and accommodation
7. Prepare agendas/papers/presentations for Committee meetings
8. Meet and greet visitors and make arrangements
9. Handle day to day operations of both offices in a professional and friendly manner
Qualifications
1. Highly proficient in Microsoft Office including Outlook, Word, Excel and PowerPoint
2. Previous experience handling confidential information
3. Attention to detail with strong time management and organisational skills in order to manage busy schedules/diary
4. Self-motivated with a proactive approach
5. Ability to problem solve
6. Stakeholder management – ability to build strong stakeholder relationships
