The successful candidate will operate under the guidance of the Transport Manager, taking responsibility for the management of the NCSL fleet, which consists of seven operator vehicles and approximately 200 non-operator vehicles. This role is crucial in ensuring that all vehicles are compliant with relevant legislation. The post holder will deliver extensive business and administrative support related to vehicle fleet management, promptly reporting any issues that necessitate escalation. Additionally, they will provide clear and precise guidance on fleet-related matters to both operational teams and management.
In this position, the individual will offer specialized administrative assistance across all transport-related functions at NCSL. Responsibilities will include maintaining comprehensive records for various fleet activities, such as vehicle management, maintenance schedules, gate checks, monitoring gross weights, and ensuring compliance with driver regulations. The role also involves supporting audits of fleet processes in accordance with operator license requirements and overseeing the management of grey fleet assets, including plant and equipment. The candidate will be expected to review and uphold fleet policies and procedures, addressing any identified gaps, and will serve as a liaison for fleet-related communications with operational teams, maintenance providers, insurers, and leasing companies. Furthermore, they will assist the Transport Manager in implementing fleet policies, preparing detailed reports for meetings, and providing coverage for the Transport Manager when necessary.
Requirements:
- GCSE English and Maths or equivalent
- Experience in preparing and writing reports
- Experience with a Non-Operator's licence or supporting a TM
- Previous experience in a busy administrative role
- Experience in an environment where high emphasis is placed on excellent customer experience
- High levels of accuracy and attention to detail
- Strong IT Skills (including Microsoft Excel, Word and Outlook)
- Excellent written and verbal communication
- If candidate not qualified with a Certificate of professional competence (CPC) Transport Manager/road haulage operations willingness to obtain this qualification
