Job Overview
We are seeking a detail-oriented and experienced Accounts Assistant / Book Keeper to join our team. The ideal candidate will be responsible for maintaining accurate financial records and managing accounts payable. This role requires proficiency in accounting software and a strong understanding of bookkeeping principles.
Duties
1. Bank reconciliation – with various financial institutions (bank accounts, credit cards, finance and loans)
2. Purchase ledger – supplier accounts, invoice recording, checks and downloads, creditor reports, manual payments, statements, price comparisons / best value for money and negotiation, associated filing. Aiming to cost save, control spend, budget plan and record achievements
3. Management of all payments together with control of statements and payment plans
4. Sales ledger – issue invoices / credit notes, dealing with queries, proforma documentation, aged debtor analysis, manual invoices, debt management, associated filing
5. VAT return – liaison with the Accounts Manager to support the ¼ly VAT return process
6. Checks couriers and recruitment invoices for accuracy and others against terms & conditions
7. Controls pricing of all utilities and other site contracts, ie. business rates, telephones, mobile phones, vehicles, insurance, FCA and to negotiate better terms and conditions and prices, reviews contracts timings and makes considerations ahead of renewal dates. Separate project to review all suppliers and research, negotiate and manage and feedback to Managing Director
8. Employee expenses management
9. Credit card payments for customers and suppliers
10. Global payment update
11. QuickBooks Cloud administration
12. Support all Company’s purchases and spend in order to develop the Company and sites and communicate with relevant parties
13. To follow all Company's procedures
14. Cover Reception as may be required
15. Other – other adhoc accounts administration related duties
Requirements
1. AAT 2+ years’ experience in a similar environment
2. Experienced in using various Cloud accountancy based software
3. Purchase and sales ledger experience
4. Previous cost management and purchasing experience
5. Excellent IT, administration and organisational skills
6. Continuous improvement skills
7. Proactive and quick thinking in response to all issues
8. Confident communicating via email, over the phone and face to face
9. Excellent negotiation and relationship building skills
10. Great attention to detail and process driven
11. Responsive to priorities and deadlines
12. Positive personality
13. Enjoys working alone and in a team
14. Ability to work in a self-directed manner
