Job Title: Stores & Logistics Coordinator

Position reports to: Steven Martin
Role Overview: Servicing all departments of SMC, reporting to the logistics manager, taking a leading role in planning, mobilising, executing, and demobilising tooling and equipment for SMC offshore work scopes. Maintain calibration and certification records of tooling and equipment (such as lifting equipment) and update company records on Motion Kinetic (training given). The role requires the coordinator to assist the logistics manager with implementing departmental and project quality/HSE policies, whereby weekly/monthly reports will be produced using tools such as MS Office and PowerPoint. Assisting in the production of departmental procedures and documentation in line with the company document control system. The requirement to travel to client port/site locations to mobilise and demobilise offshore projects working remotely.
HSE Responsibilities:
* Challenge and report unsafe acts and omissions
* Work to the SMC safety management system
* Take care of issued PPE and request replacements for damaged items
* Use provided equipment in the manner it was designed to be used
* Attend SMC safety training
* Follow SMC safety Rules
* Follow site rules
Environmental:
* Use the correct waste receptacles for the waste
* Raise maintenance requirements of vehicles assigned under your control
Main Duties:
Responsibilities:
* This role shall assume responsibility for SMC personal fall protection equipment (offshore kit bags) following a probationary period and internal training. This will include but not be limited to:
* Ensuring employed technicians and contractors are sufficiently equipped for offshore projects
* Coordinating assets of company PPE stores and deployed items
* Monitor damage/loss of PPE/uniform and record so information can be reviewed and more suitable alternatives procured
* Assist the Logistics team with offshore kit bag thorough examination schedule
* Completing offshore kit bag thorough examinations per relevant legislation and standards. (Full training given)
Administration:
* Arranging and distribution of company I.T. may be required with assistance from the relevant project managers
* Raising purchase orders for suppliers
* General Purchasing
* Coordination of project tooling and equipment files
* Utilise a filing system for calibration, utilising Motion Kinetic software
* Ensure all certification relating to tooling, etc, is filed and accessible to all within a timely manner from receipt
Quality Control:
* Annual document reviews relating to stores activities
* Take an active role in the continual improvement of SMC quality systems and standards
* Create standard operating procedures (SOPs) covering the tasks of this role where required
* LOLER/PUWER inspections on company equipment (Training given)
* Pre and post-project equipment inspections noting any deficiencies and damages using obtained data to conduct root cause analysis where applicable. In collaboration with the project management team and the logistics manager
* Monthly audits of store locations and records
* Creation of monthly reports for internal review
Stock Control and Delivery / Logistics:
* Maintain a deep understanding of logistics, suppliers, and IT. To ensure a professionally run warehouse system
* Ensure orders are picked and stored safely and efficiently
* Ensure stock is inventoried correctly and breakages/returns are managed effectively by implementing integral logistic principles, including tracking reports and ordering trends
* Coordinate recycling/waste disposal of defective PFPE and defective stored equipment
* Maintain a close working relationship with third-party suppliers to guarantee fast delivery times and efficient costs
* Ensure carrier compliance with company policies or product transit or delivery procedures
* Resolve problems concerning transportation, logistics systems, imports, or exports
* Ensure IT systems in place are effective, maintained, and accurate
Additional Responsibilities/Requirements:
* Keep up to date and comply with any new or amended processes, procedures, and regulatory changes that impact the role, learn information about new products, and always follow instructions from the Company
* Ensure all internal communications are read, understood, adhered to, and acknowledged. Clarity must be sought where needed to aid understanding, and all instructions contained therein must be always followed
* Attend meetings as directed by your manager, including one-to-one meetings, performance reviews, training/coaching, etc.
* Responsible for security of client and company data as provided and used in the role
* Responsible for the security of company property as provided and used in the role or issued to projects
* Ensure warehouse/storage areas are kept clean, secure, pest-controlled and maintained to a high standard
Skills and Abilities:
* Proficient with internal reporting software -Training is given
* Ability to prioritise and organise tasks
* Strong communication skills
* Forklift truck/counterbalance licence desirable. /Or willingness to undertake training
* Relevant Health and Safety experience in operating in a warehouse/store environment
* Computer literate with MS Windows and MS Office packages; where a skill gap exists, this must be raised
* Understanding of calibration and calibration requirements. (Full training provided)
* Understanding of COSHH regulations
Experience:
* Warehouse experience: 1-year minimum
Qualifications:
Where the below is not held / demonstrable, a person must be willing to work towards achieving competent status
* Experience with quality control systems and measures such as ISO9001
* Personal Fall Protection Equipment Inspection. (Full training can be provided)
* Experience with import/export documentation process
* A full UK driver's license
