Job Title: Senior Administrative Assistant (Presbyterian Women) Council: The Council for Congregational Life and Witness Salary Scale: A3 (£11.80 - £13.65 per hour) Working Hours: Part-time: 21 hours per week (Monday, Tuesday, Wednesday) Responsible to: Office Supervisor (Council for Congregational Life and Witness) Main function of job: To be an active member of the General Assemblys staff team working in the Council for Congregational Life and Witness department, with particular responsibility for contributing to the effective administration of the functions of Presbyterian Women. To provide administrative support for the ministry of Presbyterian Women in a manner in keeping with the Christian ethos of the Presbyterian Church in Ireland. Responsibilities and Duties Administrative tasks 1. To carry out the full range of administrative and secretarial duties, including practical support as required, for those panels, meetings, conferences, events and resources, with primary focus on Presbyterian Woman, as designated by Office Supervisor. 2. To provide administrative support to the Womens Ministry and Presbyterian Womens Development Officer. 3. To process the administration and updating of the Presbyterian Women Database. 4. To ensure the effective processing of Presbyterian Women finances. 5. To provide a first point of telephone contact and for callers and visitors on Presbyterian Women business and to process e-mails received at the Presbyterian Women email address. 6. To check publications and resources produced by Presbyterian Women for spelling and punctuation, typos, formatting issues and inconsistencies. 7. To assist with the administration of events as required. 8. To maintain the deputation system and associated records on behalf of Presbyterian Women. 9. To oversee the receipt, distribution and recording of incoming mail and dispatch of outgoing mail relating to Presbyterian Women. 10. To provide an efficient administrative service as required. General 11. To undertake such duties as may be from time to time required by the Office Supervisor or on a rota basis with other staff in the Council for Congregational Life and Witness department. 12. To take the lead in providing hospitality for the visitors, meetings and events relating to Presbyterian Women and as otherwise required. 13. To oversee and maintain stock and office supplies for Presbyterian Women. 14. To undertake such training as may be required for the efficient performance of the above duties. 15. To contribute to the overall organisational effectiveness and to perform any other duties as deemed appropriate by the Secretary of the Council for Congregational Life and Witness in line with the requirements of the General Assembly or Clerk of the General Assembly. CRITERIA 1. QUALIFICATIONS AND KNOWLEDGE Essential Educated to GCSE level or equivalent, with at least grade C in English language and mathematics. OCR (RSA) Stage II Word Processing or equivalent in competence or qualifications. Desirable Knowledge of Presbyterian Women. 2. RELEVANT EXPERIENCE Essential One years experience in an administrative role. Experience of using Microsoft Word and Outlook. Desirable Experience of checking text copy for accuracy and inconsistencies. Experience of updating Excel spreadsheets. Experience in receiving, and (as appropriate) responding to and/or forwarding e-mails. Experience of processing invoices / payment orders. Experience of updating a database.
