Due to an increase in workload, we have an exciting opportunity for a permanent position for an Administrative Assistant / Receptionist at France and Associates. Experience and qualifications will be required.
The role is available for either full or part time applicants.
The applicant must be based in the UK.
Specific Responsibility and Activities within the role
This role is ideal for an Administrative Assistant who has experience of the day to day running of an office. The applicant will be required to work between two teams in the company, contributing to deadlines required. If experience is limited, the applicant will be supported to undertake further training within the company and via any suitable third party training providers.
There will be opportunity for some remote working, however a period of time will be required for the candidate to be office based (Huddersfield) to better understand our work processes and to get to know the rest of the team. The majority of your time will be spent within the office in Huddersfield.
Part time Position
Monday to Friday 9.30 am – 2.30pm, 5 days a week required (20 hours minimum)
OR
Full time Position
Monday to Friday 8.30 am – 5pm, 5 days a week required (37.5 hours maximum)
Salary
Dependant on years of experience and qualifications.
Key accountabilities
Provide professional and timely receptionist duties, i.e. telephony and e-mail responses.
Strong typing and numerical accuracy and speed is essential, to keep up with numerous dictated letter and reports that require to be written and issued to clients.
Excellent verbal and written communication skills
Filing both paper and electronical files on a regular basis.
Provide direct administrative support to both Architectural team/ Expert Witness team.
Booking transport/hotels for colleagues
Diary Management of colleagues, scheduling of meetings
Inventory of stock, i.e., stationary and other items required for the office.
Ensure customer contact data is maintained and up to date.
Provide assistance to any visitors to the office.
Communications
Projects positivity, enthusiasm for the role and professionalism.
Establishes rapport quickly
Effective and regular communication between both teams
Key Skills And Qualifications
Proven track record of building strong, positive relationships within the workplace.
Organised with attention to detail and a thorough approach to your work, with ability to self check spelling and grammatical structure of letters/reports without assistance.
Proficiency with Microsoft, Excel and Outlook and a good knowledge of all computer systems relevant to your role.
Experience of working in the housing/construction/property/architectural industry is beneficial but not essential.
Excellent verbal and written communication skills in line with data protection regulations.
Excellent networking and relationship building skills (internal and external).
Flexibility to cope with the varying demands of the role, the right candidate must have excellent multi-tasking skills and work well under pressure
Relevant qualifications within your role as an office administrator, such as completed NVQ training.
