We are seeking a highly organized, proactive, and people-oriented Office Manager for a fixed-term maternity cover to oversee the smooth and efficient running of our London office. This role requires a professional who can manage daily administrative and managerial tasks while supporting senior executives. The ideal candidate will possess strong organisational abilities, attention to detail, and exceptional communication skills, ensuring high levels of operational effectiveness and workplace safety. This role will be reporting to the CEO.
Key Responsibilities
* Oversee the day-to-day operations of the UK (London) office to ensure efficiency and effectiveness.
* Manage office supplies, inventory, and procurement of amenities and equipment.
* Maintain office condition and coordinate necessary repairs and maintenance.
* Process invoices and purchase orders in collaboration with the Finance Department.
* Ensure compliance with health and safety and fire regulations; coordinate first aid and fire marshal training.
* Support HR with our CJ Academy project.
* Conduct Display Screen Equipment (DSE) assessments, ensuring employees’ workstation adjustments are addressed in collaboration with HR.
* Manage office security systems, including access control cards and key fobs.
* Coordinate IT equipment orders and installations with the IT department.
* Meet and greet visitors when required.
* Provide executive-level administrative support primarily to the CEO and, when required, to other Directors.
* Manage the CEO’s calendar, schedule appointments, and coordinate meetings.
* Arrange travel, accommodation, and itineraries for the CEO and Directors.
* Assist in organising Board and Senior Management Team (SMT) meetings, including minute-taking and action tracking.
* Providing administrative support to the Chair of the Group Risk Committee.
* Handle Notary and Companies House filings and correspondence when required.
* Contribute to internal employee engagement projects, such as staff newsletters and internal briefings.
* Collaborate with the Content Manager to draft and disseminate CEO and executive communications.
* Coordinate team-building activities, social events, and office away days, including researching venues, managing budgets, and organizing logistics.
* Temporarily undertake other projects, duties, or tasks as requested by the CEO.

Requirements
Key Competencies & Experience Required
* Proven experience as an Office Manager, Executive Assistant, or Administrative Manager, ideally within a fast-paced or international business environment.
* Strong organisational and multitasking abilities.
* Excellent verbal and written communication skills.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Basic understanding of financial processes (e.g., invoicing, expense management).
* Knowledge of health and safety regulations in the UK (advantageous).
* Strong problem-solving and decision-making capabilities.
* Ability to work independently with discretion and professionalism.
* Experience in a scaling business or within the fintech/financial services industry is an advantage
