Job Summary:
The Logistics and Freight Administrator will oversee the safe, efficient, and compliant transportation of goods, with a specific focus on dangerous goods. This role requires knowledge of both export and import processes, ensuring all documentation and procedures adhere to international regulations and company policies. The successful candidate will coordinate between suppliers, customers, and freight carriers, maintaining strong relationships while managing logistics operations from start to finish.
Key Responsibilities:
1. Dangerous Goods Management:
o Ensure all dangerous goods are handled, packed, and documented in accordance with regulatory standards (e.g., IMDG, IATA, ADR).
o Conduct risk assessments for the handling, storage, and transportation of hazardous materials.
o Coordinate the safe transportation and delivery of dangerous goods, ensuring compliance with relevant laws.
o Ensure all personnel involved in handling dangerous goods are properly trained and certified.
2. Export and Import Operations:
o Manage export and import shipments, ensuring all necessary customs documentation is prepared and submitted.
o Work with customs brokers to ensure smooth clearance of goods through customs.
o Track and monitor shipments to ensure timely and accurate deliveries.
o Manage and resolve issues related to delayed shipments, damaged goods, and other logistical challenges.
3. Documentation and Compliance:
o Maintain accurate records of all shipments, including dangerous goods declarations and customs paperwork.
o Ensure compliance with international trade regulations, import/export controls, and safety regulations.
o Prepare shipping instructions and export compliance documents (e.g., commercial invoices, packing lists, certificates of origin).
4. Coordination and Communication:
o Communicate with internal teams, clients, suppliers, and freight carriers to ensure smooth transportation and logistics operations.
o Handle any shipping or freight-related queries, providing timely resolutions and updates.
o Coordinate with warehouse teams for stock movements, packing, and labeling requirements for both dangerous and non-dangerous goods.
5. Inventory and Reporting:
o Monitor and manage inventory levels and stock movements.
o Report on shipment statuses, customs clearance, and any issues to senior management.
o Maintain regular updates on the status of export/import orders.
6. Continuous Improvement:
o Identify opportunities for improvement in logistics processes, cost efficiency, and customer service.
o Stay updated on industry regulations, best practices, and new developments related to freight, dangerous goods, and international trade.
Required Qualifications and Experience:
* Experience:
o Minimum of 2 years’ experience in logistics, freight forwarding, or supply chain administration, with a focus on dangerous goods handling and compliance.
o Extensive experience in managing export and import shipments, including customs clearance, tariffs, and international regulations.
* Knowledge:
o In-depth understanding of international shipping regulations, such as IMDG, IATA, ADR, and dangerous goods regulations.
o Knowledge of customs procedures and documentation requirements for both export and import operations.
* Skills:
o Strong organizational and time-management skills.
o Excellent communication and interpersonal skills.
o Ability to work under pressure and meet deadlines.
o Proficiency in logistics software, ERP systems, and Microsoft Office Suite.
* Certifications:
o Dangerous Goods Handling Certification (e.g., IATA, IMDG).
o Import/Export documentation knowledge or certifications (e.g., Customs Broker License, or similar qualifications) is a plus.
* Desirable Traits:

o A keen eye for detail and accuracy in documentation and shipment handling.
o Experience with ERP or TMS (Transport Management Systems) platforms.
Working Conditions:
* Full-time permanent position, office based in Whitstable, Monday – Thursday 9-5pm and Friday’s 8.30 – 4.30pm
