Description Due to significant growth, we have a newly created opportunity for an experienced Executive Assistant to join the London team. You will be working within a close-knit team of 14 experienced EA’s that provide support to our Investment, Portfolio Management & Platform teams. The role is based in the London office, for 4 days per week initially, however opportunities for hybrid working exist beyond this. The working pattern will be driven by demands of the business, and the requirements/schedules. Key responsibilities and requirements Effective gatekeeping, fielding of emails, queries, and calls, including forward planning and scheduling for the executives and their respective teams. Ability to act on behalf of stakeholders and as the first point of contact. Proactive inbox and diary management, proactively flagging and escalating priority emails. Draft high-quality correspondence and communicate on stakeholders' behalf. Preparation and timely circulation of agendas, materials, minutes/actions, and monitoring and following up on actions. Communicate with clients and third parties directly, screening calls and providing responses, including resolving and/or directing enquiries/requests to more appropriate areas in the firm. Management of an effective Outlook filing system and firm filing protocols. Oversee the progress of meeting room logistics, including audio, video, room setup, refreshments, AV, etc. Utilise the firm’s travel agent/online platform to arrange complex travel, visas, and itineraries. Project management and ownership of delegated tasks. Provide administrative and coordination support in the management of peers and team members. General administrative tasks such as expenses, post, couriers, archiving, printing, photocopying, scanning, bundles, basic travel bookings, taxis, etc. Ability to produce basic PowerPoint presentations and make amendments as appropriate. Provide client and relationship support, including client contact, arranging and attending meetings, taking minutes, and producing actions. Support with the organisation of internal and external events, conferences, etc., utilising internal and group resources where necessary. Plan all team events, including sourcing event spaces and managing all logistics for international teams. Required Skills and Experience Excellent academic background, educated to graduate level, or with equivalent professional experience. Advanced Microsoft Office skills. A thorough understanding of and experience in providing PA/EA support at a senior level, working in a professional, client-oriented environment, and ensuring stakeholder/client/business confidentiality and discretion. Confident and professional manner with the ability to build strong relationships with stakeholders, clients, and others. Excellent communication skills and the ability to interact at all levels. Ability to support the business and its initiatives collaboratively. Adaptable and open to change, showing a willingness and confidence to make suggestions for continuous improvement. Strong organisational skills and excellent attention to detail. Able to operate effectively in a pan-European environment, with colleagues who are based in-office, remote, or overseas. Ability to cope with a wide range of competing demands and changing priorities. Ability to anticipate issues, problem-solve, and provide practical innovative solutions. A great collaborator, able to work within a team or independently. A degree of flexibility around working hours is expected in this role.
