Role Overview:
Directs and controls the activities of the Front Office, Guest Services, Concierge, and Housekeeping. Supports other operational departments to including Equestrian centre, Spa and Fitness. Acts as the senior manager in these departments when department head is unavailable. Assumes the responsibilities of the Director of Rooms in their absence. Responds to a wide variety of guest requests by accurately assessing the guest needs and requests and then adding personal recommendations and touches to achieve maximum customer satisfaction while complying with all Four Seasons’ policies.
Key Responsibilities:
1. Manages the Department Heads. Ensures thorough communications and follow-up on any problems, guest or employee request or special requirements, and hotel initiatives. Interviews, and trains the staff. Conducts Performance Evaluations and disciplines staff when needed.
2. Reviews and monitors schedules of staff in all departments in the Rooms Division. Monitors their activities to assure that standards are being met, staff is being supported and guest needs are being met. Inspects all areas of responsibility in the Rooms Division.
3. Resolves customer complaints from all areas of the hotel, handling all guest interactions with the highest level of hospitality and professionalism, accommodating special requests whenever possible. Will resolve complaints in person, by phone or through written message.
4. Assists customers in all inquiries in connection with hotel services, hours of operations, key hotel personnel, in-house events, directions, etc. Responds to all guest requests in an accurate and timely manner. Interaction with guest will be in person and by phone.
5. Assures that financial goals are being met. Monitors and controls staff, supplies and equipment expenses. Works closely with Reservations, Sales and the Front Office to maximize rate, occupancy and total revenue. Assists Director of Rooms in preparing Annual Budget.
6. Responsible for the overall condition of the property. Conducts regular walkthroughs and partners with Housekeeping and Engineering teams.
7. Leads and is responsible for the Perfect Room Program in collaboration with Engineering.
8. Supports the Front Office/Housekeeping as MOD and in other roles when needed.
9. Collaborates with the Guest Experience manager to develop new and unique guest experiences.
10. Assists with recruiting efforts and ensures that all department managers are in compliance with standards of interviewing and hiring procedures.
11. Assists in overseeing the Manager Development Program.
12. Conducts coaching, counseling, performance reviews and check ins.
13. Uses budgets, operating statements and payroll progress reports as needed to assist in the management of the Room Operations. Assist in the effective manpower planning of Rooms Division and ensuring that all departments' schedules meet the operational needs.
14. Review and negotiate all contracts for rooms division, ensuring the services provided meet the requirements and standards of the hotel
15. Keep abreast with competition, new developments, and techniques in the hotel industry in order to ensure market share and maximize profitability
16. Conduct and/or attend meetings in order to facilitate favourable working relationship among employees and promote morale, productivity and efficiency.
17. Prepare reports, develop database for improved management decision-making
18. Takes action in all matters related to the safety, security, satisfaction and well-being of hotel guests and employees when senior managers are not available. Responds swiftly and effectively in any hotel emergency or safety situation.
19. Works harmoniously and professionally with co-workers and supervisors.
20. Acts as the senior manager in the Rooms Division in the absence of the Director. Assists the Director of Rooms in forecasting and budgeting of revenues and expenses for all departments in the Rooms Division.
