Job Description
The Migration Administration Officer plays a crucial role in providing administrative support as part of ARA's migration services team. This position requires a strong attention to detail, great customer service, excellent organizational skills, and a deep understanding of humanitarian migration processes.
The main responsibilities and tasks of the Migration Administration Officer include:
* Assisting ARA's Migration Agents and Migration Lawyers to collate documentation and complete migration applications ready for review prior to lodgment with the Department.
* Liaising with clients to obtain additional information and supporting documentation for their applications.
* Managing the administrative aspects of client intake, including documentation, data entry, invoicing and receipt of payments.
* Responding to requests for additional information from the Department and following up progress as per Migration Agent / Migration Lawyer instructions.
* Providing general administrative support to the migration team, including scheduling appointments, maintaining records, and preparing reports.
* Ensuring compliance with regulatory requirements and maintaining accurate records of services provided.
* Coordinating bookings, venues, and materials for migration information sessions and seminars.
* Collaborating with internal teams to ensure smooth delivery of services to clients.
* Communicating with external stakeholders such as government agencies, community organizations, and other service providers as needed.
* Contributing to the continuous improvement of administrative processes within the migration services team.
The ideal candidate for this role is highly organized, culturally sensitive, and possesses strong communication skills. They should be able to handle sensitive information with professionalism and maintain confidentiality at all times. Additionally, a commitment to supporting the successful integration of humanitarian entrants into Australian society is essential.
Proficiency speaking language/s common to people wishing to enter Australia on a Humanitarian visa is highly desirable.

Required Qualifications
* Certificate 2 in business administration (or similar) or several years of experience in providing administrative support.

Required experiences
* Demonstrated experience in providing administrative support in a fast-paced environment.
* Experience in working with migrants and settlement services is an advantage.
Special Conditions
* Must have evidence of Australian residency or right to work in Australia.
* Must have a current and valid Working With Children Check that shows you are able to work with children in South Australia.
* Must have or be willing to obtain a Child Safe Environment training certificate.
* Must be able to demonstrate good character through provision of a satisfactory Criminal History Check (Police Check).
* Must be willing to participate in training and development opportunities as part of continued professional development.
* Must hold a current driver's licence.
* Must own a roadworthy vehicle that is registered and has minimum third party property insurance and be able to use this for work purposes.
* Must be willing to work in various locations within the metropolitan area.
* Must be willing to participate in occasional after hours work.
