The Lead Medical Assistant & Surgical Scheduler must have strong clerical and administrative skills with an emphasis on accuracy and ability to multi-task. The ability to work independently, be organized, and communicate effectively is crucial, as is the ability to maintain the confidentiality of sensitive information and documents. The MA/scheduler must be able to effectively interact with both internal and external people. This role assists in the delivery of direct and indirect care in the office setting under the supervision and direction of the Practice Providers and the Practice Manager.
Principle Responsibilities and Duties
1. Schedule Surgical Procedures
2. Acquire appropriate procedure and diagnosis codes needed for hospital insurance precertification/authorization of surgical procedures
3. Ascertain that all consent forms and procedure related documents are complete and signed prior to procedure
4. Retrieve all preoperative medical and cardiac clearances where needed
5. Acts as a liaison between nurses, physicians, patients and staff.
6. Answers incoming calls from physician offices, patients, families and staff throughout the hospital.
7. Perform initial patient intake inclusive of rooming patients, obtain/review patient personal/medical/medication/allergy history, collection of vital signs, height/weight, complete health screening tools and complete documentation/record keeping.
8. Follow-up on test results by checking for outstanding results, routing to provider for review and following up with patients as directed by provider and appropriate to schedule further appointments or consultations, give out/send prescriptions authorized by provider etc.
9. Administer immunization/medications per provider direction
10. Assist with patient registry management, participating in patient reminder processes and health promotion efforts, as well as previsit planning and chart prep.
11. Practice specific competencies which may include: perform basic lab work; draw specimens and process or send to lab per office protocol, prepare other lab specimens such as cultures, UA, pap smears, etc. for lab pick up; provide minor procedural assists and perform tests as directed by provider: EKG, strep screens, HgA1C, etc.
12. Perform various data entry and information retrieval tasks using computerized patient record systems. Sort, file, forward, and scan information into electronic record systems as directed.
13. Assist care according to YH protocols and procedures, demonstrate clinical competence in office specific procedural skills, treatments, patient/caregiver education, and acts as patient advocate in the delivery and coordination of patient care.
14. Organize exam rooms, set up for procedures, do general cleaning and office upkeep, assist with quality monitoring/record keeping/inventory of office equipment/supplies.
15. Provide optimum customer service as a member of the care team in person, by phone, or other practice supported patient messaging system acting as a liaison between the patient and practice team to provide exceptional patient experiences.
16. Provide efficient and effective care working with Providers during clinical sessions, as a reliable, flexible, and dependable team member. Demonstrate a willingness to learn and adapt to the dynamics of a constantly changing health care environment.
17. Assures patient charts are properly assembled.
18. Must have the ability to multi-task.
19. Maintains strict confidentiality of all information and correspondence.
Education and Experience
High School Diploma and three to five years of surgical scheduling preferred. Current credentials as a Certified or Registered Medical Assistant (or to independently obtain credentials within preliminary employment period). Maintains and demonstrates competency in BLS (Basic Life Support for the Healthcare Provider) with a current certification (or to obtain within preliminary employment period), infection control, safety and all practice specific required skill review.
