Transport Administrator wanted! Beaumont Leys
Overview:
To assist the transport department in ensuring that administrative tasks and responsibilities associated with fleet management are completed in accordance with legislation, operator licence requirements, company policies and procedures. Reporting to the transport manager and transport supervisor.
Working Hours & Reward:
5 Day Contract (Monday – Friday) 8:00am till 4:30pm (40hrs excluding breaks)
Salary: £30,000 - £32,000 p/a
Responsibilities:
• Monitoring and administration of the fleet compliance planner (MOT, Chassis Service, PMI, LOLER, Tacho inspections etc.)
• Daily and weekly service reporting to the transport Manager
• Liaising with on-site maintenance team and off-site main dealers.
• Issue daily vehicle availability report. Work to maximise fleet uptime.
• Ensure all vehicles have current and up to date vehicle tax.
• Processing and follow up of fines/PCN’s/tolls/warnings/NIP
• Administration of Insurance, Uninsured loss recovery & Driver’s negligence claims
• Maintenance of repair and defect log
• Equipment transfers and maintain an up-to-date fleet list.
• Assisting in Operator licence compliance
• Fuel card auditing and managing.
• Administration of vehicle files
• Maintenance provider local contact for paperwork issues
• Administration point of contact for vehicle telematics systems
• Administration of repair sign-offs / approval and raising of purchase orders
• Maintenance of the driver compliance systems e.g. Licence Check, Tachomaster
• WTD information recorded in an accurate and timely manner.
• Perform any other Transport administration duties required, accurately and efficiently.
Person Specification:
• Exceptional organisational and time management skills
• Effective communication skills both verbal and written.
• Attention to detail/accuracy.
• Flexible attitude and approach
• Excellent IT skills (Excel, Word, and Outlook) with the ability to learn new systems.
• A flexible team-based approach
Knowledge
• Administration experience in a Transport/Fleet role is essential.
• A good working knowledge of Tachomaster is desirable.
• Training and support will be available where necessary.
