CHC Administrator
The post holder will support the CHC Heads of service in discharging their responsibility to provide assurance to all stakeholders that the CHC service is delivering a high-quality, effective, person-centred and value-for-money service.
The post holder will deliver an effective and competent level of administration within the Continuing Healthcare Team, promoting good customer service and effective working relationships.
The post holder will be responsible for inputting and maintaining data on data systems, together with the associated correspondence, ensuring a flexible/adaptable approach to their work in order to meet various deadlines and targets.

Pay Rates: Up to £14.00 per hour Umbrella or £13 per hour PAYE inclusive of holiday pay
Hours / Working Days: 37.5 hours per week / Monday to Friday, 9am – 5pm

Key Responsibilities:
1. Act as a point of contact for the department, dealing with routine and specialist enquiries in a pleasant and helpful manner, communicating relevant information to stakeholders, referring to others as appropriate.
2. Inputting and maintaining data on data systems, together with the associated correspondence.
3. Monitoring data input and printing reports from computerised systems as required.
4. Arrange/schedule assessments and reviews for Nurse Assessors, including contacting individuals and family members/representatives and other relevant professionals, as required.
5. Collation and preparation of relevant documentation in support of service delivery.
6. Support administrative function in the setting up of care packages, as required.
7. Support administrative duties relating to Liberty Protection Safeguards.
8. Organise meetings for the department, minute taking, calendar management and planning any administrative work as required.
9. Deal with invoice queries in an efficient and timely manner, as required.
10. Adhere at all times to the service guidance, and work within established policies, procedures, protocols and systems ensuring quality standards and performance as directed.
11. Answer telephone calls, taking messages and passing on accurately to the relevant department/person.
12. Ensure that general office supply levels are maintained, escalating to line manager if stocks are low.
13. Deal with all outgoing and incoming mail. Responsible for sorting all outgoing mail to ensure that IG standards are adhered to.
14. Promote the image of the department, checking that notices and leaflets are up to date and well presented.
15. Resolve complaints if possible, and escalate when required. Ensure that complaints are dealt with appropriately, and in accordance with policy.
16. Word processing and processing documents (scanning/photocopying) when required.
17. Demonstrate office systems and departmental processes to new starters.
18. Undertake research and development as directed.
19. Able to work on own initiative and unsupervised, within defined policies and procedures to set timescales.

Skills & Knowledge:
1. Demonstrable experience of working in a busy administrative environment.
2. Experience dealing with customers or service users.
3. Experience working with computerised data systems.

5. Understanding of Confidentiality and Data Protection Act.
6. High level of keyboard skills and able to use Microsoft Office programmes.
