Mersey Care NHS Foundation Trust is offering an exciting opportunity for a highly motivated and experienced medical secretary/administrator to provide effective and comprehensive secretarial and administrative support for our busy Sefton Community Specialist Services Admin Team. The hours are part time 22.5 hours per week, Monday, Thursday & Friday 8.30am until 4.30pm or 9.00am until 17.00pm depending on the needs of the service.
The Community Specialist Nursing Team cares for patients with complex health needs and long-term conditions in community clinics throughout Sefton. The teams also provide domiciliary visits for patients who are elderly, vulnerable, and housebound.
You will provide comprehensive secretarial and administrative support to our Consultants, Specialist Nurses, Physiotherapists, and Health Care Assistants for Community Heart Failure, Diabetes, and Respiratory teams as well as providing support to our Community Geriatrician.
1. Process referrals within agreed timescales with precision and accuracy in line with standard operating procedures.
2. Following triage of referrals, ensure all patients are contacted promptly in line with local KPI's.
3. Ensure appointments for new referrals are made within RTT targets and patients who require follow-up appointments have a scheduled due date.
4. Act as the first point of contact for inquiries received via telephone and email from patients, hospitals, GP practices, and other health care professionals. Transferring calls when appropriate or taking messages ensuring these are passed to the relevant person in a timely manner.
5. Use information systems with specific responsibility to ensure a high standard of information recording is maintained.
6. Assist the Team Leader in tasks such as caseload management, running reports, supervision and training of staff, attending meetings, compiling agendas, taking minutes, and typing minutes.
The successful candidate must be proficient in IT packages and Microsoft Office and have a knowledge of medical terminology. A knowledge of EMIS is desirable, although full training will be given. Have excellent communication skills both verbally and in writing and be able to communicate with patients, staff, and health care professionals at all levels both within the organization and with external bodies.
We are looking for a flexible, enthusiastic team player with good interpersonal skills and an excellent telephone manner who can work well under pressure, showing initiative, self-motivation, and understanding the importance of prioritizing their own workload to meet deadlines and competing demands. Previous NHS experience in a similar role is desirable. Experience in the training and supervision of staff is also desirable.
