Job Overview
The successful candidate will be responsible for providing the operational delivery of the FM Help Desk. This includes monitoring and responding effectively and quickly to requests received by the FM Helpdesk, providing support and assistance for incoming issues related to FM, and working through the process of solving problems with clients. Significant or reoccurring issues will be reported to the management team, along with gathering feedback to determine issues and patterns for resolution.
Key Tasks
1. Monitoring and responding effectively and quickly to requests received by the FM Helpdesk.
2. Providing support or assistance for incoming issues related to FM.
3. Working through the process of solving problems with clients.
4. Reporting significant or reoccurring issues to the management team, gathering feedback to determine issues and patterns for resolution.
5. Walking clients through FM processes and functions to ensure all KPIs & SLAs are met.
6. Reporting customer feedback and trends to the Management Team.
7. Answering Helpdesk / Switchboard calls.
8. Logging service requests on CAFM system.
9. Continually updating customers using the communication Strategy.
10. Requesting updates from Hard / Soft Services teams.
11. Updating clients on service requests.
12. Managing sub-contractor callout process.
13. Managing work orders and ensuring accuracy of data is achieved.
14. Assisting in all sites across the account to achieve the highest level of statutory compliance.
15. Promoting QHSE and driving tangible improvements in safety performance and culture.
16. Providing administrative support to local line management at all levels.
17. Working with the Account Management team to ensure best practices in health & safety are adopted and regularly reviewed.
18. Completing site inductions for staff and contractors.
Selection Criteria - Essential:
1. Knowledge and experience in using CAFM systems (Maximo).
2. Administration, Facilities & compliance Services experience.
3. Experience working in a customer service role or helpdesk environment.
4. Experience within the Facilities Management or similar role.
