This exciting Trainee Executive Assistant role has become available due to the current person going on maternity leave. Rather than recruiting for a like-for-like position, the business has decided to take this opportunity to train someone up. Several responsibilities have been delegated across the team, which has allowed the business to create an amazing training role where you'll have the chance to learn and grow, working closely with experienced team members. You'll be exposed to a variety of tasks, including diary management, meeting organisation, event coordination, and travel arrangements, with the opportunity to take on more responsibility as you become more confident in the role. If you have around 18 months of admin experience and are eager to develop new skills while supporting senior leaders, this is the perfect opportunity to take the next step in your career. We're looking for someone who is immediately available or on a short notice period to start this exciting opportunity. Key Responsibilities: Provide inbox and diary management support for the Heads of, gaining confidence in prioritising tasks and responding to changing deadlines. Organise internal and external meetings, including venue selection and managing documentation. Support with event attendance and assist with logistics for external events. Assist with the preparation of presentations, reports, itineraries, and correspondence. Arrange UK and international travel, including creating detailed itineraries. Support with processing expenses and purchase orders as required. Collaborate with the wider team to ensure smooth management of projects and events. Handle confidential information in a sensitive and discreet manner, learning to manage relationships with stakeholders. Manage contacts and data using the CRM system. Provide ad hoc administrative support to the leadership team and attend meetings as needed.Candidate Attributes and Skills: Approximately 18 months of experience in administration, including tasks such as inbox management, scheduling, organising meetings, and potentially attending them. A proactive attitude with a willingness to learn and take on new responsibilities. Excellent organisational and time management skills, with attention to detail. Strong communication skills, both written and verbal. Ability to handle confidential information with discretion and professionalism. A flexible approach to work, with a readiness to step up when required.
