Do you want to work in a very special special school, where every day is different, and make a difference to young people with special educational needs and disabilities?
JOB PURPOSE:
Ivel Valley School is a local authority-maintained area special school catering for children and young adults aged 3 to 19 years who have a wide range of complex learning needs and disabilities. The school is located at two sites in Biggleswade.
This post is one of three site agents/manager posts who share responsibility for all aspects of facilities and property management across the three sites. This includes general caretaking responsibilities such as locking up, some cleaning, porterage, waste management and day to day maintenance and repairs and covering the gate at school arrival/departure times.
The school is open between 6am and 6pm Monday to Friday (hours vary during school holidays) and for out of hours lettings.
Hours: 10am - 6pm
MAIN RESPONSIBILITIES
Facilities & Property Management - [please note that the other site managers/agents may take the lead in some areas listed below so it may only be in a support capacity]:
1. Ensure the security of the school including, depending on hours worked, the unlocking and locking up of the school.
2. Act as a key holder for both sites attending planned and emergency call–outs as and when required.
3. Daily gate duty – managing traffic on and off site and loading/unloading pupils from vehicles.
4. Oversee the maintenance of designated sites, including the purchase and repair of furniture and fittings.
5. Ensure the continuing availability of utilities, site services and equipment.
6. Follow sound practices in estate management and grounds maintenance.
7. Monitor, assess and review contractual obligations for outsourced school services.
8. Purchase premises related equipment, supplies and services within agreed budgets, ensuring best value including arranging quotes and tenders and manage the appointment of external contractors.
9. Manage the use of school facilities outside school hours (lettings).
10. Provide additional site support as required to the cleaners and provide cover for annual leave and absence of the other site managers/agents.
11. Be responsible for contractors whilst on the school site and ensure works are carried out and completed safely and to the required standard.
12. Ad hoc driving of minibuses e.g. for vehicles servicing, collecting items, filling up with fuel etc. including assisting other school staff as required.
13. Monitor, order and take delivery of stores, goods and equipment and arrange their safe storage and distribution as appropriate.
Maintenance Services - [please note that the other site managers/agents may take the lead in some areas listed below so it may only be in a support capacity]:
1. Ensure key operational systems such as heating, electrics, plumbing, sewage, drainage and lighting are safe and effective.
2. Ensure that effective plans, guidelines and instructions are maintained for all plant, equipment and utilities.
3. To be responsible for, and keep a record of, an annual maintenance and service programme. This is to include regular maintenance checks and statutory compliance and to ensure any recommendations and follow up actions are taken.
4. Maintain and improve the learning environment by carrying out routine inspections, identifying and commissioning repair work.
5. Oversee a continual painting and decorating programme and undertake remedial painting and decorating.
6. Oversee the safety and maintenance of school vehicles.
7. General porterage duties including movement of furniture, equipment and deliveries within the school.
8. Undertake emergency or ad hoc cleaning duties/activities e.g. spillages and to maintain a safe, clean and orderly learning and working environment.
9. Ensure that cleaning and maintenance equipment is properly maintained and in good working order.
10. To repair fittings and small scale improvements e.g. repairs to taps and cisterns, fitting shelves/ notice boards etc.
11. Carry out rubbish removal as necessary and ensure bins are kept clean and tidy.
12. Undertake light gardening duties and ensure school buildings, entrance areas and playgrounds are free from rubbish/leaves and there are no broken/ overhanging branches that could pose a safety risk.
Management of staff
1. Manage cleaners.
2. Undertake performance management of premises staff and absence monitoring.
3. Identify any training courses that may benefit the Premises Team with their duties.
Statutory Checks, Tests & Inspections
1. To maintain a robust inspection, monitoring and record-keeping system, consistent across the school, relating to compliance with relevant health & safety legislation in the following areas:
2. Legionella & water safety.
3. Contractor management.
4. Fire safety, including records of fire practices and alarm tests.
5. Asbestos.
6. Hoists & lifting equipment.
7. Electrical testing.
8. Working at height.
9. Display Screen Equipment.
10. First Aid.
11. Air-conditioning.
12. COSHH.
13. Gas safety.
14. Glazing safety.
15. Grounds safety (including trees, landscaping etc.).
16. Playground & sports equipment.
17. Electric door safety.
18. + any other relevant health & safety legislation.
General
1. Ensure that confidentiality is maintained at all times in respect of school related matters and to prevent disclosure of confidential and sensitive information.
2. To undertake any professional duties, reasonably delegated by the Senior Leadership Team.
3. To comply with all Ivel Valley School policies.
Personal safety and wellbeing
The post holder will be required to work without direct supervision and may be on site alone out of school hours including during school holidays. The school’s lone working policy and guidance will need to be followed.
Some of the work will be physically demanding (heavy lifting, working at height, use of power tools or heavy equipment). Some of the work may need to be done outside, such as repairs and health and safety checks in wet weather.
