The post holder will be responsible for overseeing the day-to-day operational business support functions within the Operational Coordination Centre (OCC), ensuring that documentation is maintained accurately and that all systems and processes function effectively.
The post holder will support the Deputy Director for Urgent and Emergency Care (UEC) and Operational Coordination and the Associate Directors of the OCC to ensure that workstream and programmes are planned and carried out effectively.
The post holder will be responsible for the planning and maintenance of a robust business support rota that ensures the availability of a staffing model to meet peaks in demand, both operational and emergent.
The post holder will support the Deputy Director of UEC and Operational Coordination with the maintenance of the NHS Kent and Medway ICB Director on Call rota.
Key Responsibilities:
* To set up and oversee the high-quality and efficient administration function of the OCC.
* To support the OCC team, system partners, and regional colleagues to respond to demand and capacity changes, proactively monitoring patient flow across the system to deliver a coordinated response.
* To support system coordination, maintaining an up-to-date directory of the in-hours and out-of-hours (OoH) system contacts that cover the entire patient pathway.
* To operate in a highly political and sensitive environment.
* To ensure systems and processes are in place to coordinate and manage returns to regional and national teams – ensuring that returns (including SitRep returns) are accurate and provided in line with timelines.
* To ensure the recording and management of notes and the decision-making for all actions in line with NHS England’s Corporate records management policy.
* To support the recording and completion of actions from system calls, promoting the system coordination function and improving delivery of patient care.
* On-Call support on a rota basis supporting the Operational Coordination Centre, undertaking 2.5 hours each day on a Saturday and Sunday, on a rota of approximately 1 weekend in 8-10 weeks.
