About the Role
This is a fully remote part time position working 17.5 hours per week.
We have an exciting opportunity to start or progress your career in academic publishing, as we are recruiting for a part time (17.5h per week) Editorial Administrator for the European Society of Human Reproduction and Embryology (ESHRE) journals. You will be responsible for the day-to-day administration and support of our Editorial Office, publishing four society owned, leading academic journals.
Other duties will include:
1. Ensure the smooth running of the peer review process by monitoring manuscript progress through ScholarOne submission system, sending reminders as necessary and alerting colleagues to potential problems.
2. Be responsible for the Editorial Office email account, ensuring timely and appropriate support to all stakeholders (principally authors, reviewers and editors), triaging to Editorial Office colleagues as and when necessary.
3. Organise weekly Editorial Office meetings, including producing an agenda and writing up minutes.
4. Provide in-house data analytical support for twice-yearly Editorial Office reports for Society Publication Committee meetings, as well as ad-hoc projects (e.g. to aid selection of new Associate Editors), thus supporting the Editors in maximising the four journals’ quality and standing in their respective academic fields.
5. Liaise with external service providers, suppliers and contractors to ensure most cost-effective utilisation of services and supplies.
6. Process Editorial Office invoices via proprietary OUP purchasing system using requisitions and purchase orders, as appropriate.
7. Ensure editorial lists (Editors, Deputy Editors, Associate Editors & former Associate Editors) for all journals are systematically updated and relevant parties are informed of any changes.
8. Collaborate with freelance editorial staff colleague to create effective hand-over notes to ensure an outstanding experience for customers and clients during the peer review process.
9. Offer general administrative support to the Editorial Office and responding to ad hoc requests from Managing Editor team.
This is a fully remote position based in the UK.
About You
If you are an experienced Administrator wanting to start or progress your career in a part-time publishing role, this could to the job for you! Medical/Biological/Scientific experience is highly desirable but not essential for this position.
10. Experience of using manuscript submissions systems is beneficial
11. Familiarity with publishing or academia is a preference
12. Excellent communication skills
13. Excellent attention to detail
14. Excellent time management and prioritisation skills
15. High level IT skills, including MS Word & Excel
This is a part time position (0.5 FTE) working 17.5 hours per week – our preference is for the successful candidate to spread these hours across 4 or 5 days, however we are open to being flexible with the arrangement.
