Job Title: Property Coordinator/Assistant Property Manager
Reporting To: Director/Operations Manager
Place of Work: 29A Osiers Road, Wandsworth, London, SW18 1NL
Position: Full Time – Monday-Friday – 9am-5.30pm
Salary: Dependant on experience and qualifications
Job Description:
This role would suit an applicant with excellent customer service and administration skills. Will suit a self-motivated individual who can deal efficiently with customer enquiries and can see these through to conclusion where appropriate. Previous experience in Leasehold property management is ideal but not compulsory as training will be given and the opportunity to work towards IRPM qualification.
Responsibilities:
1. To provide general support to the property management team.
2. Arrange weekly Property Management Team meeting, update tracker, and distribute accordingly.
3. Work closely with the Property Management team assisting with the management of the portfolio.
4. Issue works orders, chase contractors, and ensure the works are undertaken to satisfactory completion.
5. Complete mail merges.
6. Obtain quotations where necessary.
7. Annual review of contracts alongside property management team and provide assistance for tender reviews.
8. Distribute keys, parking permits, etc.
9. Issue newsletters via Mailchimp or another platform.
10. Keep property websites up to date – Buildings insurance, budgets, etc.
11. Take on responsibilities for the Helpline role as well as being the main contact for helpline queries on designated properties.
12. Take detailed notes and produce meeting minutes.
13. Assist Leaseholders in submitting insurance claims for damages caused to demised areas.
14. Submit and manage insurance claims for damages caused to communal areas.
15. Online filing at Companies House.
16. Take on the responsibility of projects as and when required to be completed to the given deadlines, including but not limited to:
1. Managing and updating of the Master Database.
2. Managing and updating of the Access Log.
3. Managing and updating of key log.
4. Managing and updating of the Compliance diary.
5. Managing and updating of Health and Safety escalations.
6. Managing budget tendering as and when required.
17. Answer incoming calls and liaise with service helpdesk.
18. Take and distribute messages to the correct members of the team.
General Office Admin:
1. Printing, copying, binding, franking, etc.
2. Ordering stationery i.e., paper, envelopes.
Training:
Training will be given where necessary, to include but not limited to:
1. PROPMAN – Both general training and on CRM package.
2. Mailchimp (email mail out software).
3. Phone System – Wessex.
4. IT – Wessex.

Pay: £26,000.00-£28,000.00 per year
