Job summary/Purpose
Our receptionists are based in Head Office and are the face of Taylor Wimpey to clients and customers visiting our offices. This job share/ part-time opportunity is for our Head office, based in High Wycombe. The role is to ensure continuous reception cover, by operating a true job share role with our other part time receptionist and as a priority, to deliver an efficient and professional reception service. The role also requires the successful applicant to assist other members of the HQ team with administrative duties, as and when required.
This role is two days per week working a Thursday & Friday.
Primary Responsibilities
* Handle phones and console management
* Answer the phone in a professional and courteous manner, as quickly as possible.
* Determine the purpose of callers and forward the call to the appropriate person or department or interact with the caller on behalf of Taylor Wimpey staff.
* Transfer calls as required. This includes all calls from TW customers, transferring to the Customer Hub, as appropriate.
* Take accurate messages from clients wishing to be called back.
* Deliver these messages to the appropriate member of staff.
* To maintain the abbreviated dialling system.
* Welcome on-site visitors.
* Determine the nature of business and announce visitors to the appropriate person or department.
* Offer refreshments, as appropriate.
Other Duties
* Receive and distribute mail / parcels as they arrive.
* Frank outgoing mail.
* Manage the franking machine supplies and top up as required.
* Order and maintain stationery levels, as required.
* Order and maintain tea, coffee and other refreshment levels.
* Check the main Boardroom after use and tidy as appropriate.
* Help other HQ team members, as required.
* Managing the meeting room diary, as required.
* Receive goods/services into reception, notify the individuals of delivery, and keep reception area clear.
* Type up standard letters, forms etc, as and when required.
* Ensure all staff log in and out of office using company logging in and out book.
* To maintain HQ and BU staff lists, updating monthly or as required (i.e. staff listings, telephone lists etc).
* Arrange own lunch cover.
* Provide cover, when other part time receptionist is on holiday or absent where possible.
* Organise your own holiday cover in advance with other administrative staff.
* To provide training to fellow employees to ensure that adequate cover is available for holidays and sickness.
Experience, Qualifications, Technical Requirements
* Previous experience in a similar role
* Experience managing both internal and external clients and an ability to build lasting and meaningful relationships with a variety of stakeholders
* Good knowledge and experience of relevant IT systems and experience with MS Office
