The Service Coordinator is essential in ensuring the Field Service teams operate efficiently, coordinating daily activities, and maintaining seamless communication with customers and internal teams. This role supports the goals of the RMS Service department and ensures exceptional customer satisfaction. Key Responsibilities Coordinating On-Site Visits Schedule and organize visits for installations, relocations, and maintenance services. Confirm appointments, allocate resources, and maintain detailed logs for smooth operation and clear communication with customers. Managing FSE Calendars Oversee Field Service Engineers’ calendars to optimize their schedules and performance, proactively anticipating service needs and balancing workloads. Ensuring Data Accuracy Follow CCT/SVO management processes with a focus on data accuracy, conducting regular audits, and providing training to maintain data integrity. Creating & Following Up on Quotations Generate and manage quotations for non-contract services, customizing them to client needs and proactively following up on pending quotes. Ordering & Tracking Parts Order parts for service tasks, track deliveries, and maintain strong supplier relations for quick turnaround times. Communicate proactively with customers on potential delays. Customer Communication Maintain proactive, clear communication throughout the service process, updating customers on status and addressing concerns to ensure satisfaction. Managing iBase Data Oversee iBase data management, ensuring records are accurate and up to date, helping identify trends for improved service. Effective Use of CRM & SAP Leverage CRM, SAP, and other systems for seamless service operations, tracking interactions, and generating reports to enhance decision-making. Processing Service Contracts Manage contract creation, renewal, and compliance, proactively communicating with customers about contract renewals and adjustments. Administrative Support Assist Service Managers with additional administrative tasks, keeping organized records of service activities and customer interactions. Candidate Requirements Team Player : Strong collaborative abilities. Service KPI Awareness : Understanding key performance indicators for service. Adaptable & Proactive : Flexible approach to change and process improvements. Strong Communicator : Excellent communication skills for customer and team interaction. Organized & Efficient : Skilled in handling multiple priorities. SAP & Salesforce Experience : Proficiency in SAP S/4HANA and Salesforce. Microsoft Office Proficiency : Strong skills in Word, Excel, PowerPoint, and Outlook.
