MarComm and Event Specialist, EEMEA
Scope and Responsibilities:
In this dual role, the Specialist is responsible for organizing EEMEA (Eastern Europe, Middle East and Africa) Trade show programs, Training and Medical Education events, activities, and other events, and providing support and assistance to the Senior Business Director (SBD) and EEMEA team, helping maintain our reputation for memorable events and a great organization both internally and externally. The Specialist will also network and collaborate with EMEA Marketing/Med Ed & Commercial Teams to ensure consistency of brand, materials (both printed and digital/web), messaging, and customer experience in line with CONMED’s guidelines and policies. Facilitate a high level of professionalism for all CONMED corporate and customer-facing events, meetings, and communications, including engagement and correspondence with Key Opinion Leaders (KOLs) in accordance with CONMED’s policies and procedures and compliance.
The ideal candidate is passionate, creative, detail-oriented, and dedicated to providing superb service from event, meeting, awards, and conference planning, including cost containment, venue scouting, equipment logistics, room setup, and best practices. This person must also have excellent organizational and communication skills and will closely work with the SBD in other tasks required by the business to assist and support in providing a great overall experience with our customers and partners.
Objectives of this role include:
1. Manage all aspects of EEMEA event planning, meet strict deadlines, and stay within budget.
2. Nurture and build relationships with vendors, venues, and other industry contacts while crafting and implementing the creative and logistical aspects of all events.
3. Remain current (or ahead of the curve) with trends in event planning, design, and production, and proactively identify and solve operational challenges.
4. Comply with legal, insurance, health, and safety regulations at all times.
5. Work closely with SBD and EEMEA team with other aspects that relate to great overall experience of our internal and external customers, KOLs, and partners.
Responsibilities:
1. Coordinate with internal staff, clients, and vendors to establish the requirements for an event, and serve as liaison to senior executives, government officials, and industry leaders throughout the planning process.
2. Locate resources, visit sites, and lead pre-event meetings to help staff make decisions about event design.
3. Plan and facilitate logistics for all events, including contract negotiations, guest lists, venue preparation, presentation materials, catering, entertainment, transportation, equipment, decor, and marketing materials.
4. Oversee experiences from conception through post-event review; manage on-site preparations, production, and event breakdown; and ensure consistent, high-level service throughout all phases.
5. Network and facilitate decisions between Marketing leads, Managers & Commercial management regarding attendance at shows and events.
6. In conjunction with Corporate Compliance and EEMEA and EMEA Marketing, assist in the engagement, contract process, execution, and payment to all HCP, as well as show contracts, secure show services, and process and track service payments.
7. Work within MarCom to ensure that messaging is on-brand and provides a consistent customer experience, ensuring a consistent approach to implementation of the marketing communications strategy in line with US & International.
8. Help in producing promotional and advertising material, as needed in EEMEA and with cooperation of EEMEA and EMEA marketing.
9. Perform other duties as assigned.
10. Troubleshoot any issues that arise on event day.
Required skills and qualifications:
* Proven success in event planning or coordination (minimum 3 years).
* Strong interpersonal and communication skills and a desire to assist others.
* Experience in building and maintaining positive business relationships.
* Excellent organizational skills, including multitasking, time management, and attention to detail.
* Ability to handle pressure and make good decisions quickly.
* Bachelor’s degree (or equivalent) in event management or related discipline.
* Experience in marketing or public relations preferred.
* Manage office-relevant PC skills including Microsoft Office Suite and basic Photoshop.
* Flexibility for international travel, as needed.
