Northease Manor School is looking to recruit an enthusiastic, self-motivated, and ambitious Human Resources (HR) Officer who has worked in a similar work environment. This is an excellent opportunity for an individual to work in a specialist SEND setting, contributing to the smooth operations of Human Resources across all areas.
Main Purpose of the Role:
Reporting directly to the Headteacher, this role combines both strategic and operational HR responsibilities, with the support of our external HR advisors. This is an exciting opportunity to contribute to key areas, including:
1. Recruitment: Supporting the hiring process across all departments to ensure the best talent is recruited.
2. Training: Ensuring all staff members are compliant with relevant training requirements and keeping their skills up to date.
3. Staff Welfare: Upholding the School’s best practices to prioritize and maintain employee well-being at all times.
4. Policy Management: Staying informed about legislative changes and ensuring school policies are updated and implemented accordingly.
Main Responsibilities, Tasks, and Duties:
1. Compliance: Ensure adherence to current employment legislation, internal policies, safer recruitment practices, and relevant codes of practice.
2. HR Guidance: Provide professional HR advice and support to the Headteacher, Senior Leadership Team (SLT), and staff.
3. Project Implementation: Assist in the effective delivery of delegated HR projects, ensuring alignment with organizational goals.
4. Data Management: Maintain an accurate and up-to-date HR database while ensuring compliance through the efficient management of the Single Central Register.
Advice and Support:
1. HR Management: Oversee HR activities, including the issue and administration of employment terms and conditions, absence management, recruitment, staff inductions, staff well-being, employee relations, and internal communications on HR-related matters.
2. First Point of Contact: Serve as the initial contact for all staff, providing support, advice, and guidance on a range of HR issues, including contracts, recruitment, flexible working requests, absence management, staff benefits, working practices, and compliance.
3. Regulatory Knowledge: Stay informed on current regulatory and compliance requirements, employment law, data protection, and health and safety to ensure organizational adherence and best practices.
Absence Management:
1. Monitoring: Collaborate with the Administrative Service Manager to monitor staff absences and work with the SLT and Line Managers to manage attendance, providing advice and guidance when absence triggers are reached.
2. Record Maintenance: Ensure all absence records are accurately maintained, regularly updated, and effectively managed in partnership with the Administrative Service Manager.
Recruitment:
1. Recruitment Management: Oversee the school’s recruitment process, including preparing candidate information packs (adverts, job descriptions, and person specifications), coordinating applications, arranging interviews, and managing appointment procedures.
2. Collaboration: Work closely with colleagues and, where necessary, external partners to meet recruitment needs, actively exploring innovative strategies to attract new candidates.
3. Job Description Database: Maintain an up-to-date database of all job descriptions to ensure accuracy and accessibility.
4. Safer Recruitment: Manage the safer recruitment process, including conducting all necessary pre-employment checks in line with regulatory requirements.
5. Onboarding Support: Assist with the staff induction and probation process, ensuring a smooth transition for new hires.
Record Keeping, Databases, and Analysis:
1. Data Reporting: Provide statistical information, internal school evaluation data, and other relevant staffing insights as needed to the Headteacher and Senior Leadership Team (SLT).
2. Personnel File Management: Ensure all staff personnel files are centrally stored, kept up to date, and maintained with strict confidentiality.
Other Duties:
1. Performance Management: Support and advise the SLT in managing staff performance through the established appraisal process.
2. Policy Awareness: Ensure all staff are informed about school policies and procedures and are equipped to operate within them effectively.
3. Case Management: Coordinate and assist with investigations, grievances, and disciplinary matters, ensuring proper procedures are followed.
4. Personnel Communication: Provide regular reports and communicate all personnel-related documentation to the SLT in a timely manner.
5. Single Central Register (SCR): Take direct responsibility for maintaining and ensuring the accuracy of the school’s Single Central Register (SCR) in compliance with statutory requirements.
6. Exit Interviews: Conduct exit interviews to gather feedback and insights from departing staff.
7. References: Provide accurate HR information for reference requests in a professional and timely manner.
8. Project Support: Assist the Headteacher with the development and implementation of new projects as required, contributing to the school’s continuous improvement.
General:
1. School Culture: Contribute to fostering the school’s established culture and supporting its key aims and values.
2. Confidentiality and Compliance: Provide a confidential and discreet HR service, ensuring adherence to data protection regulations.
3. Policies and Procedures: Adhere to and work within the school’s established policies, procedures, and guidelines.
4. Professional Development: Participate in training activities to enhance professional knowledge and skills.
5. Health and Safety: Be aware of and comply with the school’s Health and Safety policies to maintain a safe working environment.
