We are currently supporting an established law firm in their search for an experienced Legal Secretary. Key Responsibilities:
Case & Client Management:
* Take charge of client and case information, ensuring accurate management and organisation within the firm’s CRM system.
* Oversee all stages of legal file management, from opening to closure, ensuring accuracy and timeliness.
* Communicate regularly with clients and stakeholders, ensuring a smooth progression of cases.
* Take ownership of case matters, ensuring no file goes unattended for more than two weeks.
Administrative & Secretarial Support:
* Transcribe and finalise dictation promptly and accurately, meeting deadlines with precision.
* Manage phone calls and greet walk-in clients with professionalism and warmth.
* Prepare, format, and file all legal documents and correspondence to the firm’s high standards.
Collaboration & Client Service:
* Build and maintain excellent relationships with clients, colleagues, referrers, estate agents, financial advisors, and other legal professionals.
* Foster a collaborative, client-focused working environment within the firm.
* Uphold the firm’s reputation by maintaining the highest levels of professionalism, confidentiality, and attention to detail.
Compliance & Best Practices:
* Stay up to date with legal and regulatory requirements, including Money Laundering, GDPR, and Compliance.
* Ensure compliance with workplace health and safety regulations.
* Demonstrate financial awareness, identifying opportunities for cost savings and managing expenses effectively.
What We’re Looking For:
Experience: Minimum of 2+ years’ experience in a legal secretarial or administrative support role is essential.
Skills: Exceptional organisational abilities, attention to detail, and the ability to multitask effectively in a fast-paced environment.
Tech-Savvy: Comfortable with CRM systems and office software, ensuring efficient processes.
Communication: Excellent interpersonal skills and the ability to deliver top-tier client service.
