Overview
The Business Service Support Coordinator is responsible for providing diverse facilities management and central administrative services to support the business, its employees, and visitors. This role involves collaborating with the Business Service Director, stakeholders, and service providers to facilitate effective working relationships, enhance service quality, and ensure compliance with best practices as required.
Responsibilities
Facilities
* Academy Cleaning – point of contact for cleaner.
* Order and maintain car park passes.
* Maintain record of employees' personal vehicles (saved on the Q drive).
* Net 2 Access – Door Security system – issue and control door entry passes.
* Maintain and order visitor passes and Visitor book in Reception.
* Maintain company telephone extension and mobile phone list.
* Pitney Bowes – maintain franking machine account.
* Royal Mail account.
* Calber Hygiene account.
* Seton account – spray paint and signage.
* Maintain Edenred account for water coolers. Ensure they are sanitized twice per year.
* Renew station TV licence.
* Responsibility for central ordering consumables; tea, coffee, toilet rolls, liquid soaps, hand gels etc.
* Manage ‘Milk & More’ weekly orders.
Business Services
* Manage stationery supplies including photocopier paper.
* Maintain Amazon account.
* Manage twice weekly fruit basket deliveries.
* Manage cereal bar orders.
* Order and issue uniforms.
AEO
* Send out AEO AIT Operational Procedure Guide to new joiners.
* Maintain a record of AEO renewals and send out renewal as necessary.
Security Screening
* Maintain DBS tracker for all teammates with new joiners/leavers.
* Send reminders to teammates to request a new DBS check (every 3 years), when due.
Training
* Maintain list of First Aiders – through St Johns Ambulance.
* Maintain Aviation Security training tracker for all teammates.
o Send reminder to the Security Manager when trainings are due for renewal (every 2 years).
o Order staff photo security ID pass once training certificate received.
o Maintain door entry passes, providing appropriate access.
* Maintain i2Comply online training tracker for all teammates (Online manual handling course & Display Screen Users – every 2 years)
o Purchase licenses as required.
o Set up initial profile for new hires and login details for new hire to carry out training.
o Set up renewals.
Cars / Company Cars
* Company vehicles:
o Maintain record of company vehicles. Hard copy files plus soft copy on the Q drive.
o Tax company vehicles.
o Pay Penalty Charge notices as necessary (advise payroll for deduction from employee wages where necessary).
o Pay congestion, ULEZ and Dart charge payments as and when needed.
* Manage vehicle breakdown cover for company vehicles, as required.
* Maintain records of driving licences, note endorsements and driver details for under 25 year olds.
* Manage annual driving license audit; send details to AON and send driver details to Jenny Petschke, Risk Manager AIT Chicago.
FUEL CARD
* All Star Fuel account.
ADBLU
* Adblu account - QUS.
AIT Gearstore Europe
* Ordering items for new joiner Welcome Pack.
* Ordering Business Cards.
Qualifications
* Educated to a good standard of GCSEs with Maths & English level 5/C preferred.
Other Skills We Hope to See:
* A good standard of general computer skills – knowledge in Microsoft Office; Word, Outlook, PowerPoint, Excel is required.
* Attention to detail.
* Utilizes established procedures but decides action within task.
* Must be able to perform in a fast-paced / high-volume work environment.
