As an Administrator in the Business Acceptance Unit (BAU), you will act as point of contact, helping co-ordinate the flow of information and communications in and out of the department. This will include:
* Responding to telephone and email enquiries from across the Business received in relation to Matter Workflow and Matter Maintenance and other areas of the BAU workload
* Supporting the BAU Managers with administrative duties including; BAU absence line, daily line up, workload emails and alerts to the team;
* Creating and updating database records in 3e and iManage including; Client Maintenance, Matter Maintenance, Related Client Numbers and AML summary updates;
* Conducting sundry billing checks and research using subscription databases; Orbis and Accuity;
* Responsibility for documenting processes within the Admin Team and keeping these up to date;
* Conducting Legal and Client research for the BAU Managers and/or BAU Legal Team;
* Assisting in keeping the BAU Intranet and BAU Portal up to date;
* Assisting in maintaining, updating and circulating key BAU documents and helping to develop internal databases;
* Assisting in the preparation of induction schedules in the new joiner administration process;
* Assisting on specific projects as requested by the BAU Manager and/or BAU Legal Team;
* Occasional PA support to the BAU Legal Team, covering for the BAU's London based PA during her absence or unavailability, including travel, expenses and meeting arrangements;
* Willing and flexible to provide cross-group and departmental support at all times
* Being flexible in undertaking the above responsibilities and any others so required.
Highly motivated and proactive with strong administrative and organisational skills;
* Proven attention to detail.
* Strong database management skills.
* Strong communication skills
* Ability to work as part of a global team, both in Belfast and remotely with colleagues from London, US, Singapore and other global locations.
* Performing tasks under pressure to tight deadlines and showing a willingness and ability to work effectively under time pressure.
