Purpose of the Role
Christopher Whitehead Language College & Sixth Form is looking for a Clerk to the Governors. In this varied role, the successful candidate will provide advice, guidance and support to the governing body on governance, constitutional and procedural matters to enable the governing body to function smoothly, efficiently and effectively.
Experience is desirable, but not essential. Full training can be given, so the post is open to those without experience but with the right attitude and abilities.
Our present meeting timetable has meetings on 4 to 5 evenings per term. Day time meetings (mainly exclusion panels) are arranged as required (around 4 per annum). The rest of the work can be done on a flexible basis including from home.
Duties and Responsibilities
1. Organise and administer meetings of the Trustees and Members
o Prepare and distribute the agenda.
o Collect and distribute meeting papers ahead of meetings.
o Monitor apologies received and potential attendance and advise if turnout may be too low.
o Take minutes at meetings, prepare written minutes, circulate draft and reviewed minutes as agreed.
o Agree and circulate a calendar of meetings for the forthcoming year at the start of each school year.
2. Record Keeping
o Maintain up to date records of trustees and members including their terms of office, attendance at meetings, declarations of interest, training undertaken, skills matrix and personal profiles.
o Maintain relevant, well-ordered and accessible files, e.g. Meeting minutes, committee and other terms of reference, governance related correspondence.
o Make records available as required, and use records pro-actively, e.g. to advise in good time when terms of office are approaching completion.
3. Liaison
o Liaise with school administrative, HR and IT staff over areas of their responsibilities which interact with governance, e.g. statutory school policies, mandatory governor training, DBS and other checks and the Single Central Record, provision of email accounts and use of school IT systems, provision of information for updating relevant areas of the school website.
o Facilitate new trustee induction and ensure they have access to appropriate documents, including any agreed code of conduct, school email addresses and secure area passwords.
o Develop and maintain professional working relationships with the chair, the trustees and members, the headteacher and school’s senior leadership team.
4. Development
o Build up and maintain personal knowledge of governance and the legislation, regulations and other documents which frame it. Training opportunities will be provided. Put this knowledge to use in advising and supporting trustees and members.
o (If not already aware) As a matter of priority, develop understanding of the legal and procedural requirements for governor panels especially those dealing with exclusions.
o Contribute to rigorous and effective methods of review of the performance of the Governing Body (Trustee Board).

4 x FGBM @ 3 hours each plus 2 hours prep & follow up = 5 x 4 = 20 hours
12 x Committees @ 2 hours each plus 2 hours prep & follow up = 4 x 12 = 48 hours
Say, 4 Exclusions @ 3 hours each plus 3 hours reading & follow up = 6 x 4 = 24 hours
Miscellaneous telephone work, filing, research and elections during the year = 33 hours
TOTAL = 125 HOURS PER ANNUM
