Job Title : Mobilisation Coordinator
BASIC FUNCTION
To provide administration support for all live contracts within the Maintenance group, working alongside Mobilisation Manager, Commercial Manager, Contract Managers and the Business Development team. The role specialises in the annual renewal of existing contracts and the mobilisation of new contracts which includes the placement of subcontractor purchase orders.
AREAS OF JOB ACCOUNTABILITY
1. Renewing of existing contracts annually
2. Managing updates/alterations of site assets
3. Assist Mobilisation Manager in liaising with Contract Managers to ensure renewal process is completed in a timely manner and ensuring standard operating procedures are met.
4. Contacting Subcontractors/Suppliers to obtain up to date information and commercially acceptable quotes
5. Mobilisation of new contracts
6. De-mobilisation of lost contracts
7. Reviewing and loading of assets into CAFM system
8. Programming and adjustment of labour and sub-contractors to ensure planned and unplanned workload can be met.
9. Placement of orders to suppliers and sub-contractors as per new business information
10. Operation of computer added facilities management system Job Logic and eLogbook's.
11. Assist other sections of the team for holiday and sick cover.
12. Utilising company databases to track works
13. Works include; scheduling and producing PPM tickets, placing orders and providing site log books.
JOB SIZE
Contract administration to all maintenance contracts across the business.
Procurement of suppliers and sub-contractors up to authorised levels.
AUTHORITY LEVELS
Assisting with the sourcing of all suppliers and sub-contractors to meet approved contract plan.
QUALIFICATIONS AND EXPERIENCE
. skills on all major software packages.
Experience in procurement of mechanical or electrical installation/maintenance preferable.
Work planning/programming.
Costing of maintenance related activities preferable.
