An exciting opportunity has arisen for you to join a friendly and established team, where we are looking to recruit a well organised, pro-active enthusiastic individual to join our Assurance team as a band 3 Admin Assistant.
You will be expected to support the Trust with covering of pre-employment occupational health checks for new and existing staff members, and carrying out a wide range of admin duties under a timely manner. You must have the ability to maintain a steady work load, meeting deadlines and departmental set targets.
You will be required to work in a busy environment often delivering results under tight deadlines. You must be able to communicate with the public at all levels in a confident manner via both phones and emails, and also be required to work independently using your own initiative and as part of a team.
Use our Cority database system to process pre-employment paperwork and maintain accuracy and departmental KPI’s.
Monitor immunity status of Trust staff and recall individuals for blood tests and immunisations as required and update immunisations status on Health roster.
Monitor email inbox’s and general post responding to client queries and delivering appropriate
advice.
Using Cority to make immunisation and blood test appointments.
Assist with routine organisation of medical records.
To respond to and communicate confidential patient information to other departments, outside agencies and patients to facilitate care and support the clinical teams. Handle confidential information with discretion and in accordance with data protection requirements, GDPR and the Trust policy of Information Governance.
Maintain Health and safety within the department in accordance with Trust Policies.
Booking Immunisations and Vaccine appointments for internal and external companies, and also cancelling and rebooking these too.
Dealing with telephone enquires both internal and external in a calm and professional manner and redirecting where appropriate.
To ensure confidentiality in line with the Data Protection Act, GDPR and the Trust’s policy on Information Governance.
Use decision-making skills, prioritising your workload using standard operating manuals and processes.
Any other administrative duties as required.
