MDP Fit 2 Work medical programme - You will be responsible for the organising and smooth running of the MDP Fit 2 Work medical programme for a specific list of MDP stations. Using excellent communication skills to build good working relationships with your station point of contacts, Defence Business Services (DBS) and OH Provider colleagues. To ensure that the Station POC has all arrangements in place, following the medical checklist and timetable, prior to a clinic being conducted.
To ensure that all Fit 2 Work medical attendance sheets are received from the OH provider. To ensure that the data is input on to the MI Spreadsheet within 3 working days of receipt. In cases where an Officer is at an interim stage, to log onto the OH Portal and email a copy of the report to the Officer and Line Manager using the template email, following guidance.
To check the OH Portal for all outstanding individual appointments for your stations (for officers that missed a medical at their station or where the station is not running a mobile unit and an individual appointment is set up for them as per the timetable). To update the Management Information (MI) Spreadsheet accordingly and send interim reports as per above.
To check if any of the interim reports have turned to final (outcome reports) and where they have, to email a copy of the report to the Officer and Line manager, updating the MI sheet and inform the Chronicle team accordingly.
Monthly update of the MI database with new data from the Nominal Roles spreadsheet, ensuring that all OH portal referrals are closed as appropriate for Officers who have left.
Issues log- To escalate any issues onto Line management which can be raised and resolved with DBS and OH Provider at their weekly/monthly meetings.
Wyton medicals - To act as the point of contact for the Wyton Fit 2 Work medical programme. To build good working relationships with departmental POCs and provide guidance on their role. To collate all fit 2 work medical templates/bulk upload spreadsheets to send to the OH provider. To ensure that all POC have officers booked onto the appointment booker. To organise the clinic list and act as a host to the OH provider, assisting the technicians and dealing with any problems that occur. Chasing up any ‘did not attends’ and arranging alternative appointment dates. Ensuring that attendance sheets are completed and collected, and the MI sheet is updated accordingly.
Genera l- To deal with telephone and email enquiries. To regularly check the multi-user mailbox and to either respond to emails or forward on to the relevant member of the team. To report any suspicious/malicious emails. To manage requests for change (RFCs) on behalf of the team and ensure these are actioned accordingly. Assist the team as required as well as the wider people team.
