Property Officer - office based, maternity cover.
The Property Officer will be responsible for managing a portfolio of primarily residential properties, along with some commercial properties.
This role includes property inspections, maintenance coordination, tenant relations, and ensuring compliance with relevant legislation.
The Property Officer will work closely with contractors, tenants, and the management team to ensure smooth property operations.
Key Responsibilities:
Portfolio Management:
* Manage a portfolio of residential properties (primary focus) and some commercial properties.
* Conduct property inspections.
* Create and maintain check-in/check-out reports and inventories.
Repairs and Maintenance:
* Liaise with contractors for repairs and maintenance to ensure properties meet letting standards.
* Arrange and oversee repairs/maintenance as needed.
Lease Management:
* Monitor lease dates and notify the manager of upcoming renewals.
* Ensure properties are compliant with health and safety regulations.
Tenant Relations:
* Manage tenant communications, including issuing service notices regarding rent, lease violations, and maintenance.
* Resolve tenant disputes and follow up on outstanding rent payments.
Finance and Administration:
* Attend weekly finance and property meetings.
* Process invoices and manage payments for maintenance work.
* Organise bookings, meetings, and order necessary supplies/equipment for three buildings.
* Pick up and scan post daily, distributing it to relevant parties.
Fire Safety & Compliance:
* Conduct weekly fire alarm testing and ensure fire safety compliance.
* Perform six-monthly fire evacuation drills and check fire equipment and escapes.
* Ensure compliance with EICRs, Gas Safety, EPCs, Asbestos, LRA, Fire Safety, Lift Contracts (as applicable).
* Ensure ongoing fire safety readiness.
General Office Duties:
* Handle office tasks such as filing, screening phone calls/emails, and data entry.
* Ensure important documentation is signed and sent to the correct parties.
* Update and maintain information on the property management system (Re-leased).
Car Parking Management:
* Oversee car parking for three buildings using an online system.
* Communicate and resolve parking-related issues via email.
Contractor Coordination:
* Arrange access for contractors to carry out necessary work on properties.
* Gather quotes from contractors and submit them to the manager for approval.
Reception & Front of House:
* Provide reception support for the DWP, assisting customers, clients, and tenants with various queries.
Any other ad hoc duties required by Directors/Team members.
