In a nutshell
Responsible for supporting a data & insight led FM service across the zone in support of the Operations Project Manager in order to deliver a best-in-class FM support function to the zone. You enable the operations team to be an informed customer through the creation of actionable insight and next step proposals for service challenges. You will be responsible for tracking operational performance and service, identifying opportunities for continuous improvement and resolve performance and service issues within strategic operational projects. You will own creating the operational communication programme across both zones operational support teams, supporting to win hearts and minds through effective stakeholder engagement and communications on a planned and adhoc basis. You deliver operational insight on a weekly basis to help highlight trends and anomalies and direct attention to the biggest impact concerns. You track and monitor budgetary spend joining the dots between revenue and capital planning and understanding key drivers of extra to contract works. You contribute to the supplier performance and tender process by providing operational insight and information to define requirements and scope. You present weekly CER submissions within the capital process forums ensuring emergency requirements are justified and aligned to zonal emergency priorities.
What you need to do
* Responsible for combining qualitative and quantitative information to create a holistic operational performance overview, highlighting current key priorities
* Accountable for defining actionable insight from operational trend, KPI and performance information to guide and influence enhanced FM service performance
* You role model as the data champion for the zone, offering subject matter expertise and helping to ensure insight and information is consistently used and meets the zone’s needs
* Within peak delivery, you provide regular in the moment data relevant to season
* In the event of hypercare, you may be asked to support in pre-briefing information that will help support team colleagues to identify root causes and define solutions
* Track customer complaints and pain points across key FM services and devise and implement solutions to operational concerns
* Manage stakeholder feedback & listening programmes across FM operations, identifying opportunities to listen and devising opportunities to win hearts and minds
* Support the FM communication programme within your remit, creating performance & update packs for stakeholders at all levels
* Defines the priorities across aged works for proactive chasing by the Operations Administrator, ensuring focus on key trends and high impact issues
* Responsible for asset and estate information that ensures the balance between capital and revenue in order ensure FM spend is targeted accurately
* Responsible for providing insight into FM operations throughout the supplier relationship management and tender process to ensure alignment with the operational requirements for the FM service
* Responsible for submitting and presenting all zonal CER submissions and providing broader capital support at a zonal levels through both insight and recommendations
* Responsible for operational documentation, updates and content including FM Procedures, business continuity plans, FM posters and guidance and Retail FM Our Sainsbury’s page, leading our retail facing communications
* Leads on business continuity as the coordinator within the wider business function
What you need to know
* Strong experience in monitoring and managing KPIs and performance measures (preferably FM related)
* Advanced proficiency in Excel and PowerPoint, with extensive experience in performance measurement, including trend analysis, root cause analysis, and reporting (essential)
* Solid background in the facilities management (FM) or retail sector, with a deep understanding of FM operations and capital investment processes (essential)
* Proven ability to communicate insights and strategies effectively through regular updates to senior stakeholders (essential)
* Hands-on experience with systems such as Computer-Aided Facilities Management (CAFM), specifically Verisae (essential)
* Expert level communicator able to create communication packs for stakeholders of all levels
* Experience in identifying and delivering service or operations improvement projects
* Strong stakeholder management skills
* Experience in identifying and improving trends
* Experience in identifying root cause solutions to complex operational problems
