Are you seeking an administration role supporting a range of services giving you a great opportunity to learn more about NHS community services?
In this admin role you will support the Head of Specialist services and other service managers to ensure the efficient operation of our services which include MSK/Physiotherapy, Vaccination services, Audiology/ENT and many more.
You will support the Head of Service along with 2-3 other service managers.
The Specialist Services portfolio comprises of over 20 different out-patient and community-based NHS services in Dorset.

Main duties of the job
1. Support the diary management of specialist services managers, booking meetings, arranging room bookings, responding to meeting requests.
2. Coordinate team meetings including developing agendas, keeping minutes and action trackers, following up actions in a timely manner.
3. Manage the ordering of goods, receipting of items and accurate coding of invoices, requiring attention to detail.
4. Organise agendas, format papers, keep minutes and action trackers for meetings, all under the support and guidance of the management team.
5. Arrange team event days/education days including room booking, venue setup, and assisting managers with presentation materials.
6. Access to own transport would be highly beneficial for off-site events.
7. Opportunities to develop skills in seeking out, analysing, and presenting data.

Person Specification
Knowledge, skills and training
* Minimum standards of English and maths GCSE grade C/4 or equivalent
* Excellent working knowledge of Microsoft functions including Outlook, Excel, MS Teams
* Excellent communication skills, written and verbal, with the ability to demonstrate fluency, clarity and effectiveness at all levels
* Previous NHS experience
* Audiotyping including experience of transcribing meeting notes
* Ability to manage time and priorities of self and others
* Ability to work proactively and independently
* Ability to work and communicate professionally with a wide range of people
* Initiative to undertake new projects
Additional requirements
* Demonstrable skills in written and spoken English, adequate to enable the post holder to carry out the role effectively
Business Travel
* Subject to the provisions of the Equality Act, able to travel using own vehicle on Trust business
