The role With a new state of art infrastructure and recent investment in VBS and technology we are looking for the right individual to support our Reefer team in Southampton. As a Reefer Administrator you will be responsible for providing effective administrative support to the Reefer department and to provide excellent customer service. Key responsibilities • Generate invoices. • Provide estimates to customers in a timely manner with accurate information. • Convey customer requirements through to the Refrigeration team. • Generate customer stock reports, manage and control warranty claims through manufacturer’s systems. • Liaise with customers and maintain satisfactory service levels, ensuring requirements are communicated to the team in a timely manner and follow the job through to completion/invoicing. • Ensure all invoice queries are dealt with in a timely manner to facilitate payment. • Monitor customer booking requirements and input into Pentalver system accurately and on time. • Take customer enquiries and provide accurate estimates in a timely manner in line with customer requirements. • Maintain a polite and courteous manner when dealing with customers. • Manage customer orders from enquiry, ensuring the refrigeration team understand requirements and the order is met in a timely manner. • Assist with ensuring all refrigeration software is up to date and downloaded. • Communicate effectively with the Refrigeration Manager and customers, understand requirements and give accurate information as required. About you • Proven administration experience. • Previous experience in an engineering industry - preferred. • Strong PC skills, including Microsoft Word and Excel. • A versatile and flexible approach to work. • Excellent customer service skills. • Ability to work as part of a team. • The ability to work under pressure. • Ability to use initiative. • Proactive, innovative and creative approach to problem solving.
