Description: What We’re Looking For We are seeking a highly organized and proactive Marketing Projects Coordinator (Contractor) to join our team on a project basis. This role supports a wide range of marketing initiatives, including events, promotions, and administrative tasks, ensuring seamless execution of campaigns and projects that drive business growth. As a contractor, you’ll have the opportunity to contribute your expertise to impactful projects, working with a dynamic team to deliver exceptional results. Administrative Support: Maintain and organize marketing collateral and design files in SharePoint for specific projects, ensuring materials are updated, properly labeled, and easily accessible. Create, update, and manage a detailed tracking system using tools like Jira or Asana to monitor deadlines and deliverables for assigned projects. Serve as the primary point of contact for internal marketing requests related to contracted projects, tracking, prioritizing, and communicating the status of these requests to ensure timely delivery. Coordinate internal and external meetings and project timelines to align stakeholders and ensure the on-time execution of deliverables. Assist with creating and managing timelines and budgets for project-specific events, campaigns, and deliverables. Event Coordination: Develop and manage a tracking system for pre-event marketing deliverables, including attendee lists, emails, graphics, custom collateral, promotional items, signage, and tradeshow advertising opportunities. Coordinate logistics for contracted industry events, including registering for shows, processing invoices, securing booth utilities and technology equipment, ordering materials, and managing booth preparation, shipping, and setup logistics. Assist in creating and maintaining a post-event ROI calculator to evaluate the success of events related to contracted projects, tracking metrics such as lead generation, engagement, and revenue impact. Inventory and Promotional Item Management: Oversee the production and distribution of promotional and apparel items, signage, and event-specific collateral for project-based initiatives, ensuring alignment with brand standards. Source and recommend new promotional items for project deliverables, presenting options for approval and managing the ordering process. Maintain an inventory of marketing materials specific to contracted projects, ensuring all items are in good condition and ready for use. Collaborate with vendors to troubleshoot issues related to production or shipping, ensuring timelines for project deliverables are met. Content Coordination: Assist in coordinating the development of content calendars for contracted projects by gathering input on relevant topics and ensuring deliverables are completed on time. Support the organization and maintenance of marketing collateral related to specific campaigns, ensuring updates are tracked and materials remain current. Review and provide feedback on copy for campaigns, social media, email marketing, and website updates tied to project objectives, ensuring accuracy and alignment with brand guidelines. Graphic Design Support: Assist in the coordination of creative briefs for design and video projects, ensuring objectives, target audiences, and deliverable requirements for contracted work are clearly defined. Manage design and video deliverable timelines for contracted projects, coordinating with designers to ensure completion on schedule and within budget. Oversee the quality of graphic design deliverables related to project work, ensuring brand integrity and alignment with established guidelines. Reporting and Analytics: Provide assistance with ad-hoc data collection requests for contracted projects, ensuring accuracy and organization. Compile and organize monthly reconciliation reports for paid advertising expenses tied to contracted campaigns. Build and maintain standardized presentation templates for project-based reporting, ensuring consistency and ease of use for internal teams. Requirements: Bachelor’s degree in Marketing, Communications, or a related field. 3-5 years of experience in a marketing operations or event coordination role, preferably in property management, specifically Condos or HOAs. Proficiency in Microsoft Office Suite and HubSpot; familiarity with Salesforce, SEMrush, and Google Analytics. Strong organizational skills with the ability to manage multiple projects, prioritize tasks effectively, and meet deadlines in a fast-paced environment. Experience coordinating events, including managing logistics, timelines, budgets, and vendor relationships. Basic understanding of digital marketing and content management systems, with the ability to support campaigns across multiple channels. Knowledge of brand standards and experience ensuring the quality and consistency of marketing materials. Benefits: Hourly Rate: $32 -$35 Remote First, Flexible schedule
