3 months contract with local authorityMain Purpose of Job: Contribute to the provision of a customer-focused service within a continuous improvement framework, meeting the standards of the common inspection and matrix frameworks. Manage the services management information systems, ensuring accuracy of data input, timely reporting to external bodies, and provision of regular analytical data reports. Coordinate and administer all the services examination procedures and processes to awarding body standards. Main Accountabilities: Database Management: Manage all service databases, including LearnerTrack and CRM, ensuring compliance with Skills Funding Agency and other data collection service requirements. Ensure data is reported within stated timescales. MIS & CRM Operations: Ensure efficient and effective operation of MIS & CRM database contracts. Deliver training and enable development of MIS, including creating course codes, publishing courses on LearnerTrack and Webenrol, and other relevant applications. Course Information Publication: Ensure accurate and customer-focused publication of course information. Develop the virtual learning platform and manage the dedicated service mailbox. Data Extraction and Reporting: Extract data from MIS to produce analytical reports for service monitoring performance and tracking trends. Liaison and Training: Liaise with external providers and staff to ensure accurate data collection. Provide ongoing support and training in the use of MIS systems. Unique Learner Number (ULN) Management: Ensure robust processes for checking, obtaining, and allocating learners ULNs. Conduct periodic checks to ensure data accuracy. Data Collection and Upload: Ensure correct information collection by training providers. Allocate course codes and upload information on the providers gateway in line with Skills Funding Agency guidelines. Examination Coordination: Coordinate examination policy and procedures to awarding body standards. Administer examinations, manage staff involved, and link data to the MIS. Learner Surveys: Compile, distribute, and analyze learner survey results. Produce summary reports and recommendations using web-based systems. Marketing Procedures: Manage marketing procedures, including brochure production and local marketing leaflets. Develop timetables for information collection and liaise with the design and print team. Website Management: Ensure service websites are up to date. Support staff in maximizing the use of Moodle and provide training. Enrolment Process: Assist in the enrolment process, advising learners, collecting fees, issuing receipts, and entering enrolments and registers into the MIS system. Monitor course take-up and produce registers for term commencement. Representation: Represent the service at internal and external meetings. Service Planning and Development: Contribute to service planning, annual self-review, quality improvement plan, and policy/system development. Professional Development: Participate in induction, annual appraisals, one-to-ones, training, and other continuing professional development activities. Policy Compliance: Ensure duties are carried out in accordance with council policies, including equal opportunities, diversity, and health and safety. Additional Responsibilities: Undertake other tasks and responsibilities commensurate with the grade of the post, including management of the Thomas Gray Centre or other locations as required.
