Job Summary
The role of the Estates Administrator is to support the hospital engineers in ensuring compliance with all statutory and Welsh Health Technical Memorandum (HTM) regulations relating to the hospital. This will be achieved by supporting them utilising Microsoft applications and bespoke software for the logging of all maintenance jobs, records, and test results.
Contractor control and dealing with suppliers will also form part of this role to ensure that the hospital estate is maintained, and all assets are compliant with service records.
Key Responsibilities:
* Maintain all test records, waste notes, risk assessments, audits, and Pre-Preventative Maintenance (PPM) sheets.
* Maintain the asset register and ensure service compliance.
* Invoice reconciliation.
* Co-ordinate with sub-contractors and department heads on equipment repair.
* Liaise with suppliers on contract renewal, job requirement and contractor control.
* Using Fiix to log and report on all jobs undertaken by the estates team, to include forward planning of PPMs.
* Healthcare Inspectorate Wales (HIW) requirement folder maintained/updated on a monthly basis.
* Production of rota and on call.
Person Specification:
Essential
* Educated to GCSE English and Maths Grade C.
* Ongoing commitment to continuous personal and professional development within the Estates field.
* Experience using CMMS software.
* Strong organisation skills.
* Excellent communication skills
* Good level of IT literacy (especially MS Office packages).
* Good numeracy and literacy skills.
* Ability to work on own initiative and within a team.
* Ability to prioritise and work to deadlines whilst working under pressure.
* Ability to forward plan servicing timetables in relation to equipment.
Desirable
* Experience of working within an Estates/Engineering Function.
* Experience of working within a healthcare administration function.
