The post holder will support the Funded Care Team in ensuring the people of Bristol, North Somerset and South Gloucestershire (BNSSG) experience the best possible quality of services, clinical outcomes, and patient experience when they interface with health and care providers.
The Funded Care Business Support Officer will work as part of the Funded Care Business team and provide high-quality financial/budgetary administrative support to ensure the effective delivery of all business functions associated with NHS Funded Care.
Main duties of the job
1. Run and collate financial reports which may include reports to the Board and senior management as required.
2. Develop and maintain effective electronic and paper filing systems, to ensure that information is kept securely and is accessible to other members of the team.
3. Prepare agendas, take minutes and distribute notes of meetings including typing up of group discussions and interviews as necessary.
4. Provide administrative support to all team members to support a range of department initiatives.
5. Supervise staff in day-to-day activities as directed.
6. Work together with other administrators/PAs within the Trust to provide an effective network of communication including dealing with visitors to the base and being flexible to cover other administrators' general duties.
7. Provide guidance and advice on relevant policies and procedures.
8. Participate in Research and Development activities as directed.
9. Participate in the rota for provision of in-hours Call Support to System Flow meetings, once appropriate training has been received.

Job responsibilities
1. Provide specialist secretarial/administration support and advice to the teams.
2. Take telephone calls for the department when out of the office and use initiative to deal with phone calls and messages.
3. Sort and prioritise all incoming mail and e-mail, distributing as appropriate.
4. Manage the electronic diaries for the department, including arranging and changing appointments, prioritising these as appropriate.
5. Undertake administrative duties such as photocopying, faxing, and mail-out distributions.
6. Ensure all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner.
7. Organise and plan events as necessary supporting information material.
8. Support teams in project management and participate in department events.
9. Input, monitor, and check data required for finite and ongoing projects within the teams.
10. Work with all team members in the collection of information for performance reporting on relevant team projects.
11. Act as a point of contact for teams, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously.
12. Supply the relevant information required for financial management, supporting the head of department and teams by checking and sending invoices for payment.
