Contract: Fixed Term (until January 2026), Part – Time
Salary: £29,909 p/ a (NJC Scale Range 9 – 12) Inc. LW + pensions and other benefits (pro-rata for part time)
Hours of Work: 22.5 hours per week (Monday – Friday), excluding breaks, from 12pm to 4:30pm (negotiable)
Annual Leave: 34 days per year, including Bank/ Statutory Holidays(pro-rata for part time)
The Facilities Administrator will be working within the Facilities team, providing Technical support across Passage buildings, including health and safety compliance, facilities management, environmental management, and the administration of business continuity arrangements. To deliver effective, flexible and consistent support services for Facilities.
Key Responsibilities
* Checking quotes, clearing invoices and working with contractors on job pricing.
* Monitoring maintenance reporting via the Inform maintenance database.
* Ensure H&S policies are up to date and liaise with relevant consultants on reviews, ensuring new starters have H&S information and guidelines.
* Monitor fire weekly tests and fire evacuations, with feedback reports to SLT after each evacuation.
* Overseeing the access pass system and ensuring that procedures relating to the system are carried out.
* Working with the Facilities Coordinator and consultants to participate in building audits.
* In conjunction with the Facilities Coordinator, continuously develop the role to ensure that all tasks are being undertaken in an effective and appropriate manner which meets the strategic aims and objectives of The Passage.
* Participate in internal/external meetings as required, attend training events, conferences, and other functions as necessary.
* Participate in regular supervision and annual appraisal, and help in identifying your own job-related development and training needs.
* Ensure that all The Passage policies and procedures are adhered to, particularly those relating to the Code of Practice and Confidentiality.
* Contribute to the effective implementation of The Passage’s Diversity and Equality Policy as it affects both The Passage and its work with vulnerable adults.
* Undertake your role in a professional manner, maintaining a high quality standard of work, and work in accordance with the aims, values, and ethos of The Passage.
Desired Experience
* Facilities / property management background.
* Experience of managing health and safety in the workplace would be an advantage.
* Experience of delivering Facilities related training, including site induction, is an advantage.
* Experience of tendering maintenance and Facilities contracts.
Desired Knowledge
* Working knowledge of UK health and safety workplace regulations.
* Good working knowledge of Microsoft Word, Excel, Outlook, and Teams.
* Working knowledge of Building Management systems is an advantage.
* Knowledge of Business Continuity aspects is an advantage.
