Job Overview: The Office Administrator will support the Office Manager in handling office and crew-related tasks, maintaining accurate records, coordinating logistics, and providing general administrative support to ensure smooth operations. The ideal candidate will be highly organised, proactive, and capable of managing a range of administrative responsibilities. Main Duties: Assist the Office Manager in carrying out administrative duties effectively and delegate tasks to office support staff as needed. Help manage crew schedules, travel arrangements, and documentation to ensure operational readiness. Maintain up-to-date records of crew certifications, contracts, and compliance documents. Support payroll processing by verifying timesheets and related documents. Assist with procurement and inventory management of office supplies and crew-related equipment. Monitor office procedures and best practices, ensuring efficient workflow and adherence to company policies. Handle general administrative tasks including filing, data entry, and correspondence. Communicate with crew members regarding schedules, policies, and company requirements. Ensure compliance with industry regulations and company policies for crew management. Help organise training sessions, safety briefings, and crew inductions. Support financial administration by processing invoices and expense reports. Assist in maintaining health and safety compliance by tracking risk assessments, office safety measures, and reporting hazards to management. Attend meetings and provide administrative support to management as needed. Perform any additional tasks to effectively support the office and operations.
