We are seeking a proactive and highly organised Senior Client Services Manager to lead our Client Services team at Pembroke House, our business centre in Cwmbran.
This pivotal role requires exceptional organisational skills, strong clerical expertise, and proficiency across various software systems. You will oversee the administration team, streamline processes, and ensure the smooth operation of both our accountancy firm and serviced offices.
Key Responsibilities
* Lead, supervise, and develop the administrative team, including conducting regular performance reviews.
* Oversee daily operations such as data entry, document management, petty cash, and diary management for three partners and the management team.
* Prepare accounts documents, schedules, and client correspondence to strict deadlines.
* Manage the credit control process.
* Utilise IRIS and other systems to maintain accurate records and facilitate communication.
* Oversee event management across the firm.
* Manage the client disengagement procedure.
* Lead the day-to-day management of Pembroke House Limited.
* Ensure Health and Safety standards are met across the business.
* Implement and improve office policies and procedures for greater efficiency.
* Coordinate scheduling, appointments, and meetings to optimise time management.
* Maintain organised filing systems, both digital and physical.
* Communicate professionally with clients, suppliers, and stakeholders.
* Prepare management reports as required.
* Manage consultancy billing processes.
* Provide cover for the Practice Manager when needed.
Requirements
* Proven experience in a busy administrative role, ideally within the accountancy, legal, or banking sector.
* Previous team management experience is essential.
* Knowledge of the IRIS suite is highly desirable.
* Strong clerical skills with excellent attention to detail.
* Ability to work well under pressure and meet deadlines.
* Proficient in Microsoft Office.
* Exceptional organisational, communication, and interpersonal skills.
* High level of accuracy in data entry and document management.
* Ability to prioritise tasks, work independently, and collaborate within a team.
* Proactive, adaptable, and solutions-focused approach.

We offer a competitive salary and benefits package with a 38-day holiday package inclusive of bank holidays (pro-rata) on offer.
Salary will be £30,000 – £35,000.
