Purpose of the role
Providing administrative and planning support to the O&M Planners. To coordinate, control and develop all Lightsource O&M inventory, stock & audit related activities
Duties and responsibilities
1. Creation of service orders, scheduling jobs and reviewing closed service orders.
2. Preparation and co-ordination of quotations ensuring the correct contractual margins are being applied where applicable.
3. Raise purchase orders, liaising with suppliers and field service engineers (FSE’s), tracking of all purchase orders and maintaining records for costs.
4. Maintaining client contact where required.
5. Creating and maintaining spreadsheets and reports to track inventory management.
6. Manage the stock take portfolio schedule for contractual spares while working with the planning team and asset managers ensuring all spares audit for that month are completed on time and to the quality standard.
7. Ensure management of our proof of delivery records are correct and up to date.
8. Highlight any data discrepancies and chase our FSE teams for further updates.
9. Identify shortages in contractual spare numbers and obtain approval, quotations and costings in order to reorder on a proactive basis.
10. Own, manage and improve our spares reporting through IAuditor or other systems (Enterprise Asset Management System -EAMS) as required to provide correct client information.
11. Manage and maintain Lightsource O&M inventory including stock profiles at numerous locations.
12. Controlling costs within budgetary limits.
13. Liaise with suppliers, raise purchase orders, and tracking of orders.
14. Ensure incoming product is receipted and managed appropriately according to company procedure.
15. Proactively establish commercial opportunities.
16. Liaise with stakeholders to understand forecasted requirements and manage supply to maintain high levels of customer service.
17. Support regional planning through supply led modelling.
18. Update business systems with accurate stock figures and investigate discrepancies.
19. Liaise with couriers to arrange collection and deliveries.
20. Management of the central storage facility including stock levels, stock checks and deliveries.
Knowledge
21. Knowledge of Solar PV related materials would be advantageous, but previous experience in a similar electrical role will be essential.
22. Key requirement will be logistics inventory management ideally from an electrical distributor/manufacturer.
Work Skills
23. IT skills including Microsoft Office, Excel, Word, PowerPoint and Adobe Acrobat.

Experience Required
30. Proven stock, audit and inventory control background in a similar environment will be advantageous.
31. Proven administration background in a similar environment will be advantageous.
32. Experience in client interaction will be advantageous.
33. Creation of service orders, scheduling jobs and reviewing closed service orders will be advantageous.
Education and Qualifications
34. Ideally possessing a relevant professional qualification and/or suitable background experience in inventory management
