The department The Finance Department supports all aspects of the firm’s financial requirements from the provision of strategic support through to detailed transactional processing, with a key focus on providing excellent customer service to our internal clients. The department is comprised of a management accounts and accounts payable team based in Cardiff plus a London-based operational team covering client related transactions and working capital related activities. The Accounts Payable Assistant is a part time (0.6 FTE) role which sits within the accounts payable team. The accounts payable team deal with the processing of supplier invoices and employee expenses, managing the firm’s office account payments, compliance with VAT regulations and dealing with queries from the wider firm and external suppliers, across multiple jurisdictions and currencies. Responsibilities Reporting to the Cardiff-based Senior Accounts Payable Assistant, the Accounts Payable Assistant role is based from our Cardiff office. The role is at 0.6 FTE (21 hours per week) and is to cover Wednesday to Friday on a full day basis, or Tuesday to Friday with reduced hours accordingly. The accounts payable team is responsible for supplier invoices and expense claim processes for all the firm’s eight offices and separate ledgers are maintained for the UK, Hong Kong, Ireland and Northern Ireland. Working collaboratively with other team members, responsibilities will include: Preparation of the firm’s supplier invoice and expense claim payments weekly and dealing with other ad hoc payments, ensuring timely and accurate processing in line with the Firm’s policy; Ensuring the correct VAT recovery of transactions posted; Management of the team’s shared inbox, using the firm’s various IT packages and liaising with stakeholders around the business and within the wider Finance team to resolve queries; Involvement in monthly reporting, such as identification of areas requiring prepayments and accruals at each month end. Experience and Skills Required Strong numeracy, technical and IT skills including Excel and ideally experience of practice management systems or other accounting software packages; Excellent attention to detail and a consistently high level of accuracy; An understanding of VAT recovery processes; The ability to manage their own time, organise their work and deal with queries efficiently and promptly; The ability to work with the rest of the team, supporting others as required; The ability to build relationships with partners and key stakeholders across the firm; The knowledge and desire to identify and implement improvements to processes and procedures; Strong communication skills at all levels of the organisation; An enthusiastic and flexible approach with a ‘can do’ attitude.
