Job Title: Rehabilitation Coordinator
Reports to: Head of Internal Operations
Location: Southport
Salary: £18,375 pro rata pa (FTE £24,500) + bonus structure + company pension
Hours: 30 hours per week
Main Purpose of the Job:
The role of the Rehabilitation Coordinator is to support Unite Professionals Ltd (UPL) national team of Case Managers in the setting up of rehabilitation services and providing administrative support in order to provide quality case management. The Rehabilitation Coordinator is responsible for monitoring the rehabilitation assessment reports and updating documentation that comes in and out of the office, ensuring that all updates, reports, and emails are released to a high quality and professional standard. This entails the writing, editing, and formatting of correspondence and obtaining costs and further information in relation to the rehabilitation services we offer our clients.
The role requires excellent organisational skills and an ability to prioritise a busy caseload. It is essential that the Rehabilitation Coordinator is always in communication with their Case Managers and clinical team. This ensures that any necessary actions are clearly documented in correspondence and audited and recorded in our internal database. The Rehabilitation Coordinator must ensure that the bespoke database (Alpha) is updated accurately to reflect billing and audit information on each client.
Key Responsibilities:
* Responsible for own Case Managers and associated work
* Updating and formatting UPL reports and updates
* Seeking costs for rehabilitation services
* Ensuring UPL service levels are met in terms of quality and timescales
* Managing the flow of written and electronic correspondence in and out of the office
* Managing rehabilitation provider approvals, in terms of costs and raising purchase orders
* Ensuring Alpha is kept up to date
* Liaising with referring parties - solicitors, insurers
* Referring and liaising with rehabilitation service providers
* Updating Case Managers and other third parties on approvals and referrals made
* Sending supplier agreement forms to third party rehabilitation intervention suppliers via Signable and following up on completed returns
* Corresponding with clients as applicable
* Working with the Medical Records Team to ensure all relevant medical notes are on file for the Case Manager
* Liaising with and updating the Finance Team as and when appropriate
* Meeting with Clinical Team regularly to update any progress with the implementation of recommendations
Finance:
* To support and assist the Case Manager with the ongoing financial direction of each client
* To ensure payment request forms and purchase orders are raised appropriately for relevant services/invoices
* To liaise with our Finance Team on raising payment to ensure invoices are paid promptly
Telephony:
* Use of Horizon VOIP telephone system
* Answer all calls in a professional telephone manner as part of a hunt group within the Taunton and Southport team
* To signpost and transfer the caller to the correct person/department
