We are looking for experienced administrators to join our friendly multi-disciplinary team on Viking Ward, located within Crawley Hospital. We have both full time (37.5 hpw) and part time (15 hpw) hours available.
Main duties of the job
The main duties of the role are to provide administration and clerical support on the units ensuring that an efficient communications system is adhered to. Provide solutions for routine queries/concerns about services and decide what to refer to senior staff. To provide essential cover for other administrative staff as requested by the Ward Manager.
To be able to demonstrate good interpersonal skills and communication skills working effectively as part of a team within a healthcare environment with patients, visitors, relatives, as well as medical, nursing, and therapy staff.
To use own initiative and ability to prioritise own work. Arrange team meetings as requested by colleagues across a designated group of ICUs. To be the point of contact as SystmOne champion to disseminate new functions within the system and ensure all staff are made aware of any changes. Support the Ward Manager in the recruitment and retention of new staff and associated processes used by the Trust e.g. NHS Jobs / TRAC.
Assist the Ward Manager in reviewing office/administrative procedures. To liaise with senior nursing staff regarding forthcoming staffing requirements.

Job responsibilities
1. Assists the Ward Manager / Matron with any review of office or administrative procedures by inviting and collating feedback from clinical and administrative colleagues.
2. Contributes own ideas and suggestions for service improvements.
3. To assist in collating and maintaining various staff databases as directed by their line manager.
4. To assist with new staff induction, ordering uniforms, and other administrative functions required for new staff members.
5. Support senior nursing staff in the production of management information including both personal and activity reports.
Person Specification
Qualifications and/or Professional Registration
* Good standard of general education or ability to demonstrate report writing and numeracy.
* NVQ Level 3 or equivalent qualification and/or experience.
Experience
* Experience of a health care or customer-focused environment.
* Experience with using SystmOne electronic patient record system.
* Experience with HealthRoster or other e-rostering system.
Skills and Knowledge
* IT skills such as Excel, Word, and PowerPoint.
* Ability to maintain and record data accurately.
* Ability to write a report and keep accurate notes.
* Ability to work independently within defined parameters.
* Organises own workload to achieve deadlines.
* Can contribute and work as part of a team.
* Able to effectively communicate to a range of people including patients, relatives, and medical practitioners.
