An exciting opportunity has arisen for an administrative Optometry Placement Coordinator within the CTMUHB Ophthalmology Department. This is a new role, responsible for coordinating the HB hospital-based clinical placement programme for optometrists pursuing specialist qualifications. The successful candidate will be an experienced administrative worker who will provide comprehensive placement management and admin support for a high-quality experience for optometrists attending our Eye Clinics on placements. The post-holder will be based in Prince Charles Hospital but will be required to attend other hospital sites in the HB as needed to ensure smooth rota planning, onboarding, clinic room allocation, etc. This is a part-time, fixed-term (6 months) role; working pattern/base site flexibility will be considered. The post holder will ensure placements are arranged to meet the needs of trainees, Ophthalmology service and HB targets. Applicants will need to be highly organised, adaptable, show initiative and prioritise their workload. The role includes a high level of communication with different stakeholders, so attention to detail and an excellent telephone manner is essential. Previous experience of working within a similar environment will be advantageous. We require a motivated individual who is IT literate with good knowledge of computer packages and who can adapt well, meet deadlines and stay organised.
Main duties of the job
We are looking for an individual with excellent administrative and communication skills to join our Ophthalmology team and improve future eye care services across the HB. You will be responsible for the day-to-day running of the Optometry placement programme and will ensure that these short-term clinical placements are managed effectively and efficiently. You will deal with queries from different sources and ensure the trainees' needs are met whilst balancing the needs of the Ophthalmology service, to support the HB in meeting training targets. You will ensure efficient completion of all admin duties and will need to be reliable, flexible and well-organised with strong communication, IT and time management skills. The key post-holder responsibilities are to:
1. Lead on all administrative and planning duties relating to arranging placements in secondary care for all optometry higher qualifications across the HB.
2. Work as part of the multi-disciplinary team and provide expertise in the proactive management of placements. This includes ensuring the suitability and capacity of the Eye Clinic to host placements.
3. Be guided by CTMUHB guidelines, procedures and relevant All Wales policies.
4. Respond to day-to-day placement/trainee queries, and escalate any complex issues to their Line Manager.

Qualifications
* Educated to Diploma or Vocational Level 4 in Administration or acquired equivalent experience, skills and knowledge of a range of administrative processes, organisational policies and management procedures, acquired through training and experience in administration roles at a similar level.
* Proficient in the use of Microsoft Packages e.g. Excel.
* Understanding of eye care services.
* Knowledge of Welsh Patient Administration System (WPAS) or equivalent programme.
Experience
* Previous experience in an administrative or secretarial role.
* Proficient typing skills and experience of all Microsoft Office Packages.
* Experience of using and managing information databases.
* Experience of working in the NHS, particularly in a multi-disciplinary team.
* Experience of interpreting organisational policies when advising individuals.
Attributes
* Highly organised and able to work to deadlines, with proactive planning skills.
* Able to use initiative with identifying/solving problems, and prioritise own workload.
