Personal Assistant
We are looking for a motivated personal assistant to provide full administrative support to the our leadership team, which makes things better for customers and simpler for colleagues by organising, planning ahead and providing timely information to enable effective team work.
Accountabilities:
● Dealing directly with queries on behalf of the team or escalating the query to the relevant member of the department
● Formatting and sending out communications to colleagues, customers or suppliers as appropriate
● General diary management and organisation of meetings including all team events
● Support the management of emails and correspondence for function leaders
● Organising travel arrangements and accommodation
● Effective management of issues, to ensure effective and speedy resolution
● Undertaking confidential correspondence on their behalf and provide an administrative support service
● Attend meetings and take confidential minutes and action points where necessary
● Sourcing information for departmental reports from across the business and external stakeholders
● Create and maintain trackers e.g. internal audit – risk & actions
● Any other duties as and when required
● Managing expenses and approval of invoices
● Production of Board reports, departmental reports, bulletins and memoranda
Role-specific knowledge, skills & experience:
● A strong working knowledge of IT packages such as Microsoft and Google packages
● To collate and analyse information to a high degree of accuracy
● The ability to plan and organise, providing support with efficiency and effectiveness
● Strong communication and influencing skills
● Ability to maintain high levels of confidentiality
● Likely to have significant experience in an administrative role
● Previous PA experience
● Ideally an understanding of the business function
● Ideally have retail experience
